JOB DESCRIPTION
Under the general supervision of Division Chief, assists in the performance of administrative support and clerical functions and does other related works.
Functions and Responsibilities:
1. Encodes in the database tracking system all incoming and outgoing communications/documents of the section to be used as reference in following up/monitoring the status/action taken;
2. Faxes, scans and/or email copies of documents and office communications to different Offices, Bureaus, Services and other National Agencies for their information;
3. Answers phone calls, assist visitors/clients of the section, and refers their queries to concerned staff/division;
4. Files and stores copies of memorandum, guidelines and other reference documents of the Division to safe keep pertinent documents and ensure that these can be easily retrieved when needed;
5. Maintains and updates database of office records to ensure that there is an inventory of available sources / documents that can be used as references for staff;
6. Manage and prepare inventory of all ERSD issued equipment/office supplies to all ERSD staff;
7. Serve as secretary of ERSD Division Chief; update and remind calendar of activities, generate any documents needed during the meeting, etc.;
8. Facilitate administrative and logistic-related concerns of ERSD staff and ensure coordination with other OBSUs as needed;
9. Prepare and disseminate agendas for meeting, ensure attendance and participation of the staff;
10. Perform other related works that may be assigned by the immediate supervisor/ higher authorities.
Job Outputs:
1. Updated schedule of the Division Chief and other personnel of the Division.
2. Data tracking system incoming and outgoing communication.
3. Administrative requirements of official concerned e.g. documents requested.
4. Memoranda, letters, request and other communications.
5. Well-maintained records of ERSD documents, inventory and directories of ERSD staff and FOS ERS focal.
6. Provided administrative support during the ERSD training, meetings/activities.
7. Well-updated ERSD document tracking thru Google drive.
8. Other tasks as deemed necessary.

8. Valid NBI/Police Clearance or proof of payment i.e. official receipt of the NBI/Police clearance;
9. Authenticated or photocopy of Civil Service Eligibility and/or Valid PRC ID/Integrated Bar of the Philippines (IBP) ID/proof of payment or schedule of appointment for the PRC/IBP renewal license; and
10. Performance Rating in the last rating period or its equivalent, as may be applicable.
Note:
(i) For those applicants from the public sector vying for promotion, a performance rating is required.
(ii) For internal (including COS workers) and external applicants from the public sector: Latest and duly approved Individual Performance Commitment and Review Form (IPCRF).
