JOB DESCRIPTION
The Administrative Assistant II performs clerical functions in the budget unit. He/she is expected to assist the Administrative Officer V in the receiving of incoming and outgoing documents, processing of obligation requests and assist in the encoding of obligations in the DBM Unified reporting system.
Functions and Responsibilities:
1. Handles incoming and outgoing documents of Budget unit;
2. Monitor the completeness of attachments needed for processing of OBs;
3. Maintains records of incoming and outgoing of all documents as basis of monitoring documents entering the Budget unit;
4. Assist the Budget Officer in the processing of Obligation Requests;
5. Assists in sending budget utilization report via email to all divisions;
6. Assists the Budget Officer in encoding utilization/obligations/proposals in the DBM URS/OSBP;
7. Follow up pertinent Finance Section papers as needed by the Budget unit;
8. Answers telephone calls for budget unit and answers queries concerning the units; and
9. Perform other tasks as may be assigned by immediate supervisor, FAD Division Chief, Deputy Executive Director and Executive Director.
Job Outputs:
1. Approved Obligation Requests;
2. Filed OB and pertinent documents; and
3. Emailed to Divisions Fund utilization reports.

5. Copy of duly signed Individual Performance Contract Review/Summary of Rating of Performance Assessment in the present information, if applicable; and
6. Photocopy of Transcript of Records.
