JOB DESCRIPTION

 

Under general supervision, the Executive Assistant II shall perform administrative and technical duties, study and act on a variety of documents and assist the supervisor in reaching or implementing substantive decisions. He/she maintains confidentiality in nature of sensitive documents; prepares memoranda, orders and assists in preparing final recommendatory actions for the BFIRST Project Manager.

Functions and Responsibilities:

 

1. Performs variety of administrative and technical inputs in maintaining the confidential nature of sensitive documents;

2. Conceptualizes and develops layout designs for online communication, advocacy campaigns and reports;

3. Screens and vets all communications and official documents prior to submission to the Project Manager for signature;

4. Examines various requests from offices;

5. Coordinates and networks with other offices and stakeholders;

6. Prepares memorandum and letters;

7. Reviews Activity Proposal/Terms of Reference;

8. Reviews documents for signature of BFIRST Project Manager, including but not limited to the following: Sub Allotment Advice, memoranda, letters, and financial reports;

9. Prepares provisional agenda;

10. Prepares minutes of meeting; and

11. Performs other related tasks as may be assigned by the BFIRST Project Manager; and

12. Conduct follow-through of PAPs and other documentary requirements for compliance of the unit.

1. Reviewed documents for signature of the BFIRST Project Manager;

2. Provisional Agenda and Minutes of Meeting;

3. Recommended Organizational Structure;

4. Branding Compliance Review;

5. Layouts of IEC Materials for digital, print, or necessary reportorial requirements;

6. Memoranda/Letter; and

7. Powerpoint presentation.

8. Valid NBI/Police Clearance or proof of payment i.e. official receipt of the NBI/Police clearance;
9. Authenticated or photocopy of Civil Service Eligibility and/or Valid PRC ID/Integrated Bar of the Philippines (IBP) ID/proof of payment or schedule of appointment for the PRC/IBP renewal license; and
10. Performance Rating in the last rating period or its equivalent, as may be applicable.

(i) For those applicants from the public sector vying for promotion, a performance rating is required.
