JOB DESCRIPTION

Under the direct supervision of the Division Chief, the Administrative Officer II will provide comprehensive technical support to the Division, including overseeing procurement management, administrative preparations for Division-initiated activities, and performance management. The AO II will also serve as the primary liaison for the Division. Additional responsibilities Include performing secretarial duties, managing documents, coordinating Division activities, and serving as the secretariat for meetings and events, ensuring the efficient execution of materials and logistics.

Functions and Responsibilities:

1. Oversees the procurement management for the Division's planned activities;

2. Prepares narrative reports, Requests for Issuance Slips, and conducts market scanning for activities initiated by the Division;

3. Monitors and Implements the performance management activities for the Divisions;

4. Prepares memoranda, correspondences, documentations, minutes of the meeting and other-related documents;

5. Records incoming and outgoing communications within the Division and ensures documents are transmitted to the appropriate staff;

6. Maintains an organized filing system for Division documents;

7. Oversees and coordinates logistical needs, Including catering services, meeting venues, and equipment setup;

8. Acts as the secretariat for Division-initiated meetings and events, preparing agendas, taking minutes, and managing documentation; and

9. Provides support to the Division and Unit by performing additional tasks as assigned.
