The Administrative Assistant III (AA III) shall be working under an Executive Office. Primarily, he/she will act as part of the Administrative Support Team of the office, specifically functioning as computer operator. He/She is expected to provide administrative and logistical support to ensure the performance of duties of the office.
Functions and Responsibilities:
1. Provide Administrative support to ensure continuity of office operations;
2. Manages special projects as assigned by the Executive Assistant and Assistant Secretary;
3. Improve and operate document tracking and other office operations-related (computer) systems;
4. Track, check, and ensure completeness of attachments of incoming and outgoing documents;
5. Encode and print out correspondences, reports and other documents;
6. Maintains and manage files and records;
7. Assist in the management of the daily schedule of activities and arrangement of the Assistant Secretary’s official appointments;
8. Interview and screen callers and visitors;
9. Prepare/draft/encode communications;
10. Review and vet documents as to completeness, accuracy of staff work, and compliance to existing rules and regulations prior to endorsing to the Executive Assistant/Assistant Secretary for information/approval/instructions;
11. Coordinate and collaborate with office within and/or outside the Department to ensure efficient, effective, and timely delivery of services;
12. Perform other tasks and designations as assigned, such as, but not limited to:
