Position Summary
The Culture and Learning Assistant supports the operational and logistical needs of the Culture and Learning team. This role is responsible for the day-to-day management of meeting room scheduling, ensuring efficient coordination of resources and alignment with organizational priorities. The assistant also provides logistical support for training, orientation, and learning systems, contributing to the department’s strategic goals for engagement, learning, and innovation.
Schedule
This position will be Monday-Friday and onsite required.
Responsibilities
Manages the day-to-day scheduling of meeting and training rooms based on requests, ensuring availability and proper allocation of resources Communicates with internal stakeholders to confirm room reservations, resolve conflicts, and address last-minute changes Maintains accurate records of room schedules and ensure readiness of spaces Provides logistical support for department training sessions, workshops, and meetings Supports the administration of the Learning Management System (LMS), including updating attendance records, assigning training modules, and tracking participant completion for compliance with orientation and onboarding requirements Supports the preparation of training spaces, ensuring alignment with program needs Prepares and distributes materials to support orientation, ensuring resources align with the Kootenai Health Way principles Assists with the setup of technology, equipment, and supplies for orientation sessions Collaborates with trainers to ensure readiness of training spaces, including room setup, materials distribution, and technology checks Sets up and breaks down meeting and event spaces, ensuring logistical needs (e.g., A/V setup, catering, room configuration) are met Proactively identifies and resolves potential challenges to maintain the integrity of training and events Monitors and manages inventory levels of office supplies, training materials, and equipment Ensures training resources and technology are operational and accessible Coordinates equipment repairs or replacements to maintain readiness Identifies and implements process improvements to enhance meeting room scheduling, training logistics, and orientation delivery Collaborates with team members, internal departments, and external vendors to support seamless program execution Maintains confidentiality and professionalism when handling sensitive information Supports departmental initiatives and contributes to cross-functional projects Familiar with standard concepts, practices, and procedures within the field Regular and predictable attendance is an essential job function Competent to meet age specific needs of the unit assigned Performs other related duties as assignedRequirements and Minimum Qualifications
Associate’s degree in a related field preferred 3 years’ experience in providing administrative or logistics support, including experience in scheduling or event coordination Experience with Learning Management Systems (LMS) or training program logistics preferred Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software Strong organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks effectively Knowledge of event coordination, meeting logistics, and learning systems operations Excellent verbal and written communication skills, including proofreading and managing correspondence Proactive, adaptable, and solution-oriented approach to scheduling and logistical challenges Collaborative team player with a positive, professional attitude Demonstrated commitment to supporting organizational success and alignment with strategic goalsWorking Conditions
