Service Coordinator

Holt CAT is the largest Caterpillar dealership of heavy equipment in the US. We have a Service Coordinator position available at our Waco, Texas location. We are located at 1700 West Loop 340, Waco, TX 76712. The Service Coordinator will perform various administrative duties such as coordinating and maintaining day-to-day support activities pertaining to the Service operations. The hours are Monday - Friday, 7:00 AM - 5:00 PM.

Job Description :

This position is responsible for providing day-to-day support to all teams of the heavy equipment service department. Primary duties include coordinating work order closings, data entry of time records, processing departmental correspondence, and maintenance of files and reports.

Essential Functions:

Provides administrative support including answering the telephone, replying to email messages, handling inquiries, and providing information to customer callers Requires accurate data entry of daily labor hours to ensure timely work order and payroll processing Maintains consistent, accurate, and timely coordination of information/paperwork flow to ensure that the department operates efficiently Generates all purchase orders and validates timely entry into work orders systems Maintains department daily/monthly/quarterly reports such as; fuel log, MSHA, etc. Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards Requires regular and punctual employee attendance Performs other duties as assigned

Knowledge, Skills, and Abilities:

Working knowledge of computers and multi-line phone systems Knowledge of basic office practices, procedures, and processes Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level Excellent verbal, written, and communication skills Exceptional customer service skills Excellent interpersonal skills to establish working relationships with multiple departments and various levels of the organization Time management and time-critical prioritization skills Ability to work on multiple projects and deal effectively with employees, team members, and management Self-starter and ability to work independently Ability to operate office machines and computers  Understands written sentences and paragraphs in work-related documents Ability to effectively present information and respond to questions from a group of managers, coworkers, customers (internal and external), or the general public

Education and Experience:

Up to three years of work-related skill, knowledge, or experience is preferred High School diploma or equivalent required

Work Environment:

This job is generally performed in a professional office environment Frequently works at a fast pace with unscheduled interruptions
