Our team in Prague is rapidly growing, and we are looking for an ambitious and dedicated individual to join us as a Customer Service Specialist for maternity cover period (at least 18 months).
Essential duties and responsibilitiesSet up customers for the relevant region in the JDE system and maintain open communication with the Finance department to ensure flawless operations.
Foster active communication with dedicated customers to increase their business potential and cultivate positive relationships.
Manage sales orders within the JDE system, including the preparation of relevant documents to ensure a smooth order process.
Prepare and send invoices to customers in a timely and accurate manner.
Maintain accurate records of sales orders, confirmed delivery notes, and invoices.
Manage the product returns process, including the preparation of credit notes and ensuring customer happiness.
Process and record backorders for the relevant region, ensuring timely resolution.
Communicate actively with internal customers, particularly with the Regional Business Manager, to ensure mutual know-how sharing and collaboration.
Participate in regular meetings with relevant business teams to align on goals and strategies.
Manage proforma invoices and credits clean-up for plasma business customers in the dedicated region.
Collaborate regularly with forecasting employees to minimize product out-of-stock (OOS) situations.
Participate in regular warehouse inventory checks as needed to maintain accurate stock levels.
Resolve JDE system issues through a set-up process and provide support via the Help Line.
Support the Customer Service team by working responsibly for the region.
Provide additional support to the Customer Operations department based on the requests of the Customer Operations Manager.
Job requirementsProven ability to manage customer relationships and enhance business potential.
Outstanding communication skills, both written and verbal, to engage effectively with customers and internal collaborators.
Strong organizational skills to manage multiple responsibilities and ensure timely completion of tasks.
Skill to effectively implement processes and procedures to improve customer happiness.
Determination to solve problems quickly and efficiently, ensuring a high level of customer service.
Competence in using the JDE system and other relevant software to manage customer service operations.
Willingness to participate in regular meetings and collaborate with team members to achieve common goals.
Strict attention to detail to ensure accuracy in all aspects of the role, from order management to invoice preparation.
Education/ExperienceHigh school graduation is required.
Minimum of 1 year of experience in a customer service role, demonstrating proven success in similar responsibilities.
Experience with the JDE system is preferred but not required.
