Day Camp Administrative Coordinators will each administratively support a number of assigned day camp locations. These coordinators will play a vital role in ensuring all paperwork is received, completed accurately, and entered into our data bases. During the summer the Administrative Coordinators will ensure all accident/incident reports, invoices, and visa reconciliations are submitted and tracked, as well as the data-entry and approval of payroll hours for their assigned region. They are also responsible for creation of attendances and camper groups, and ensuring Camp Directors are hiring to enrollment at their locations.
In this role, you will:
Complete accurate and timely data entry in the Human Resources databases, inclusive of; hiring packages, police record checks, and visa reconciliation Complete accurate and timely entry of payroll hours into the payroll database within the assigned deadlines for each pay period, for the staff at their assigned camp locations to ensure staff are paid on time. Ensure any payroll discrepancies are sorted in a timely manner, escalating any concerns to the Day Camp Manager Complete weekly task of accurately sorting camper groups, medical and camper information in Excel within assigned deadlines Provide administrative leadership and support to Camp Directors with a minimum of weekly check-ins to support the on-site organization and collection of documents Work closely with Office Coordinator to track and follow up with Accident Incident report forms Provide support to program in warehouse/office organization when time permits Responsible for attending all staff trainings and meetings; arriving on time, and actively participating and contributing to the development of all camp staff Ensure Health & Safety procedures are being followed and maintained and contribute to the cleaning, safety and maintenance to camp sites and office Act as a positive role model for the campers and fellow staff through embodying the YMCA values, policies and procedures, Day Camp conditions of employment/guidelines and the Ontario Camping Association standardsYou bring:
Post-secondary education (or currently enrolled in) business, administration, human resources or related program preferred Minimum 1-year experience working in an administrative role Experience with YMCA Day Camps an asset Knowledge or experience in Microsoft Word, Excel and Outlook, ActiveNet and UKG preferred Demonstrated ability to work well both independently and in a team environment Well-developed interpersonal, and relationship building skills; ability to establish rapport Excellent communication skills; both verbal and written Commitment to diversity, equity, inclusion and building a sense of belongingWhat you need to succeed:
