Job Title Dean's Office Coordinator - Elliott College of Fine Arts Full Time/Part Time Full Time FLSA Non-Exempt General Job Description This is a senior-level administrative support position responsible for providing advanced support for department events. Responsible for making event arrangements, assisting with assigned events, and performing complex administrative work in support of the department. Works under general supervision, with considerable latitude for the use of initiative and independent judgment. Reports to the Dean. Essential Job Functions 1. Assists with all events/programs scheduled in the building, including verification of room and catering set up and removal.
2. Assists with all events hosted by the dean’s office throughout the year, including but not limited to private receptions, networking nights, luncheons, and speaker series.
3. May serve as building contact for maintenance, repairs, custodial, or any specific issues that need to be addressed (e.g. signage, displays, etc.)
4. May manage comprehensive building schedule.
5. May establish building access for individuals and submit requisitions for special requests to the appropriate personnel (custodial, maintenance, etc.).
6. Makes all travel arrangements for the dean and associate deans as well as assists with arrangements for invited guests.
7. Submits all travel requests and performs follow-up reconciliation for the dean, associate deans, and office staff.
8. Assists associate deans with promotion, tenure, pre- and post-tenure procedures and review.
9. Interprets policies and explains procedures relating to the activities of the department.
10. Assists in the development of departmental policies and procedures.
11. Handles routine and confidential correspondence.
12. Prepares routine and special reports and maintains departmental records.
13. May compile statistical data and prepare various studies of departmental activities. Non-Essential Job Functions Performs other related duties as assigned. 14. Ability to work evenings, nights and weekends as necessary. Physical Demands Required Education High school diploma or equivalent is required. Required Experience and Training Five years of related experience is required. Candidates who do not meet the experience requirement but have a Bachelor’s degree in a related field may also be considered on a basis set forth by the Department of Human Resources. Preferred Qualifications Bachelor’s degree in a related field is preferred. Experience in event planning and coordination and office management is preferred. This is an IT-sensitive position subject to Computer and Network Security policy. Min Pay Rate Mid Pay Rate Salary Information Salary Grade - 15 Specific Job Requirements/Duties for this Posting This position is located in the Elliott College of Fine Arts and reports to the dean. The job duties include:

Works closely with dean and dean’s staff to perform complex administrative work. Assists with all events/programs scheduled in the building, including verification of room and catering set up and removal. Assists with all events hosted by the dean’s office throughout the year, including but not limited to private receptions, networking nights, luncheons, and University Series. Handles facilities rental agreements, communication, and collections. May make travel arrangements for the dean and dean’s office staff as well as assist with arrangements for invited guests. May submit travel requests and perform follow-up reconciliation for the dean and dean’s office staff. Handles student employee hiring, scheduling, and electronic personnel action forms (EPAFs).
