The Opportunity

The Dean’s Office Coordinator plays a key role in supporting the College of Engineering Dean's Office by managing daily operations and ensuring a professional, welcoming environment. As part of the administrative support team, they contribute to office efficiency and organization. This position is essential in facilitating smooth communication and operations within the Dean’s Office.

Key Responsibilities

Office Coordination and Reception

Serve as the first point of contact for the Dean’s Office, ensuring a professional and welcoming environment.Provide general administrative and customer service support to visitors, faculty, and staff.Manage office supplies, equipment, and common spaces, ensuring efficiency and organization.Answer and direct calls, respond to emails, and triage inquiries appropriately.Coordinate Dean- and Associate Dean-sponsored events and order merchandise for staff awards.Distribute incoming correspondence and packages while managing outgoing shipments.Maintain conference room scheduling, provide A/V support, and oversee space management.Assist with onboarding new staff and faculty, including office logistics and resource coordination.Submit and track IT and facilities requests for shared spaces and equipment.Manage building access, keys, and hoteling space in collaboration with facilities staff.Maintain listservs, phone directories, organizational charts, and office signage.

Special Projects, Event Coordination and Support for College Leadership

Provide administrative support for special projects initiated by college leadership.Plan and manage staff engagement events, such as the Annual Staff Service Awards Luncheon and Holiday Party.Support Engineering College Council events, department meetings, and faculty and staff events.Create event invitations, flyers, and communications for college-wide events.Conduct research, draft documents, and compile data on various topics, including sensitive matters.Track project progress and ensure deadlines and obligations are met.Administrative Support for Dean, Associate Deans and College Directors as needed.Schedule meetings, manage complex calendars, and coordinate logistics for leadership.Arrange travel, prepare itineraries, and process reimbursements using Concur.Assist with Promotion and Tenure processes and other administrative tasks as requested.

What We Need

Associate degree in Business Administration or related field with 2-4 years of high-level administrative experience, or an equivalent combination of education and experience.Proficiency in business software, including Zoom, A/V equipment for video conferencing, and Microsoft Office (PowerPoint, Excel, Outlook).Strong ability to handle confidential and sensitive situations with tact, discretion, and professionalism.Excellent verbal and written communication skills.Superior organizational skills with strong attention to detail.Ability to work effectively in a complex, high-pressure environment while maintaining a professional and customer-oriented attitude.Self-motivated and proactive in anticipating the needs of staff and the office.Strong ability to work independently, set priorities, and demonstrate a commitment to continuous growth and learning.Ability to cultivate inclusive and equitable working relationships with students, faculty, staff, and community members.

This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY and hybrid. Core hours are Monday through Friday, 8:00 AM to 4:30 PM, with flexibility as needed. The final schedule will be established in collaboration with the supervisor.

Rewards and Benefits

This position is eligible for a hybrid work arrangement. Employees typically perform this role remotely 1 day per week and on-campus 4 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
