We are looking for a dedicated Department and Invasive Scheduling Coord like you to be a part of our team. **Job Summary and Qualifications** PRIMARY PURPOSE Coordinates and maintains physicians schedule via EMR computer system. Schedule procedures for patients according to need and make all related arrangements for the procedure; work in a fast-paced environment in order to arrange appointments. The coordinator also requires excellent customer service skills with patients, employees, and the public; must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized, and be able to manage demanding workload with accuracy. Performs delegated administrative duties related to patient check in process. DUTIES AND RESPONSIBILITIES Under the general direction of the Director of Endoscopy and the direct supervision of the Clinical Nurse Manager and within established policies and procedures, the incumbent performs the following functions: 1. Serves as a point person for the department. 1. Provides administrative support and general assistance to the Endoscopy Director. 1. Performs a thorough check in of patients using two patient identifiers. Escorts patients to Endoscopy Unit for admission and assists in identifying the appropriate Bay for incoming admissions. 1. Schedules external gastroenterology and pulmonary procedures, manages and adjusts the schedules for best work flow. Schedules add on procedures for inpatients and emergency room patients. Also enters all necessary information for cases into Provation. Communicates in advance with patients to confirm procedure arrival times. 1. Schedules procedures and related tests with appropriate hospital departments, i.e. radiology, OR. Completes and faxes appropriate paperwork to hospital. Maintains proficiency with EMR and intranet forms and documents. Keeps department forms and waiting room signage up to date. 1. Schedule all radiology, labs and testing for patients. Working with appropriate clinical protocols and/or instructed by clinical providers Instructs patients with regard to prep for testing 1. Requests patient record from referring providers and facilities required for patient visits and procedures. 1. Assists with adjusting schedules in accordance with anesthesia meetings for later start times. 1. Answers, screens, forwards and relays messages of incoming calls to appropriate individuals. Contacts physicians and ancillary departments as directed. Relays messages in a timely manner. 1. Actively keeps track of the distribution and completion of forms for the NH Colon Registry. Ensures that all colonoscopy screening patients receive a form and are accounted for by the end of each day. Maintains a log of forms and sends it to the director for tracking purposes. 1. Works and maintains open communication with external partner’s and assists in the booking procedures and special requests for the procedures. 1. Check and respond to email communication with regard to physician’s schedule. Addresses patients’ questions regarding procedures. 1. Schedule all radiology, labs and testing for patients. Working with appropriate clinical protocols and/or instructed by clinical providers Instructs patients with regard to prep for testing. 1. Schedules special needs for procedure i.e. C arm or if procedure needs to be done on OR. 1. Retrieves voice mail messages, makes arrangements for emergent and priority scheduling of appointments, procedures and testing, inputs appointment information into the computer systems. 1. Request necessary medical records from other facilities if needed. Checks for cardiac clearance. 1. Files, indexes and maintains incoming records for future procedure. 1. Manages the process for equipment repair, reporting and tracking. 1. Performs routine data entry; including ordering office supplies; Assembles and distributes office supplies. 1. Maintains appropriate facilities log and communicates with them as needed. 1. Communicates call assignments to hospital administration. 1. Assumes accountability for number and content of patient charts needed on unit. 1. Adheres to universal infection control guidelines. Maintains department and work areas in a clean, safe and organized manner. 1. Communicates delays to the nurse in the performance of daily tasks which interfere with the quality of patient care. 1. Communicates with the practices any cancellations, no shows, poor preps to reschedule. 1. Determines appropriate schedule for manometry pts and follows through to contact physician and/or office to notify of scheduled procedure. 1. Maintains department T drive folders. 1. Maintains down time procedure folder and ensures always up to date. 1. Communicates all Facilities and Environmental Service’s needs. Ensures general organization and cleanliness of the department. 1. Ensures along with other leadership that the department is compliant and ready for DNV. 1. Schedules monthly staff meetings, takes minutes, and distributes to staff members. 1. Complies with and enforces established policies and procedures. 1. Ensures confidentiality of employee, legal, client/patient, budget and Catholic Medical Center matters. 1. Maintains good communications, establishes and maintains positive working relationships within the department, with other employees and the public. 1. Makes effective suggestions to improve the functioning of the department. 1. Ensures that defective supplies and equipment are removed and tagged from use and reported to the nurse in charge or clinical leader. 1. Participates in activities that promote improved patient care. Attends staff meetings and mandatory in-services. Utilizes department resources and reference materials. 1. Assists with transferring patients onto stretcher or wheelchair and transports them as directed. Performs messenger/transport duties as necessary (i.e., delivering specimens to the laboratory). 1. Participates in appropriate role in disasters, fire drills, fires and other emergency situations. **What qualifications you will need:** QUALIFICATIONS: Education: + High school diploma or equivalent. Experience: + A minimum of one years’ experience in a hospital/clinical setting required. + Previous health care experience in a similar capacity on a Gastrointestinal Unit preferred.
