Your mission   

 

As Department Assistant in our “Nuclear Safety & Engineering” and “Responsible Designer” department you will contribute to our mission everyday by playing a crucial role:  Support to the Department Manager in secretariat tasks such as : To manage the diary - To prepare documents for meetings or to be handed out to other participants To organize meetings, travels, conferences participation To assist her/him in the follow-up of the mailbox To type and submit the department report Follow-up of recruitment process Welcoming visitors, telephone call filtering, message taking Handling of all secretariat tasks in an independent way Typing all types of documents Managing the incoming and outgoing mail and documents :

sorting, copying, distribution
filing, archiving

To comply with the instructions in the project quality manual (templates, powers of signature, document storage, etc.) To establish PREQ’s (orders for services & material) Organization of BAGN_MS assistants meetings

 

Your key responsibilities   

 

As assistant of the department manager you provide operational support: responding to requests, organizing internal meetings/seminars/internal and external events, you manage the community of assistants inside the department, you act on behalf of the department manager for some approvals As polyvalent assistant you are in charge of the management of documents in accordance with the specific Nuclear Business Area quality procedures : To do the layout of meeting reports, project related documents, incoming and outgoing mails …

To archive documents with the appropriate internal tool
To follow the instructions for the archiving of documents according to the project requirements
To distribute documents to internal or external customers

You ensure purchase orders and make sure that invoices are paid You ensure the management of roles & distribution lists and Server Project Spaces You handle administrative tasks for your Manager You are in charge of updating CV’s of collaborators with the appropriate tool You are responsible for managing, scheduling and organizing meetings and travels You are in charge of organising the meetings for the trainings given to collaborators 

 

We would love to hear from people with  
 

You have a diploma in secretarial studies or similar and you have around 5 years of experience in a similar position Languages : mother tongue is Dutch, fluent in French and proficient in English Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook,…) • Good communication skills and team player with an attitude of collaboration, trust, honesty and transparency. You are dynamic and you like teamworking.
