Your Role:

As a Department Assistant for EMD Serono in Billerica, MA, you will provide advanced administrative support to the Specialty Operations and Clinical Quality Management teams within Global Development Operations.

Responsibilities:

Administrative Support: Manage complex calendars, coordinate travel arrangements, and organize high-level meetings, ensuring all logistical details are handled efficientlyMeeting Coordination: Plan, prepare, and follow up for cross-functional and global meetings, including creating agendas, consolidating presentations, preparing minutes, capturing action items, and sending communicationsDocumentation Management: Compile, prepare, and distribute reports, presentations, and materials in a timely and accurate manner. Maintain a library of presentation graphics, templates, and formats for internal and external useProactive Assistance: Understand the scope and content of ongoing initiatives and programs to provide proactive support to team members. Track important documents for signature and deliver them to the appropriate partiesBudget Management: Maintain the department budget, process invoices, and prepare purchase requisitions while ensuring compliance with financial systemsOnboarding Support: Prepare and maintain onboarding plans for new colleagues, ensuring a smooth transition into the teamOffice Management: Order office supplies, maintain supply closets, and manage relevant document repositories for the department (e.g. Teams, SharePoint), ensuring accessibility and organization
 

Who You Are: 

Minimum Qualifications:

High School diploma or GED3+ years of experience supporting leadership teams or departments

 

Preferred Qualifications:

Bachelor’s degreeExperience in pharmaceutical, biotech or healthcare industryStrong customer service mentality with excellent interpersonal, written, and oral communication skills, that enable you to develop and maintain relationships across team members and functionsHigh proficiency in Microsoft Office applications, including Word, Excel, and PowerPointA good understanding of financial systems such as SAP, Concur, and AribaAdaptable with the ability to multitask and demonstrate excellent organizational skills with keen attention to detail.Highly self-motivated and proactive, with a willingness to take on responsibilities
