*Description*
Summary:
Provides support to the Director, Asst Director, Maintenance Supervisor, EVS Supervisor, Biomed, Security and Safety Departments. Manages the scheduling of conference rooms and meetings including creating, updating, distributing and posting the Weekly Meetings Schedule. Prepares purchase orders for processing, secures needed approvals, documents, files and follows through to the Accounting Department for payment.
Responsibilities:
1. 25% - Performs clerical functions to ensure the smooth operation of Plant Operations including Maintenance, Environmental Services, Security, Biomed and Safety. Maintains calendar for Director, Plant Operations.
2. 25% - Coordinates all requests for conference rooms and meetings including requests for audio visual equipment and requests for special room set up.
3. 20% - Performs duties related to financial functions within the department to include invoice transmittals for hospital purchases and services and timely processing through the accounting department for payment.
4. 10% - Attends weekly Environment for Care Safety Surveillance Rounds, records reports, creates work orders where necessary, distributes report to department head and responsible departments to complete work necessary, follows up and maintains records and reports. Creates annual schedule of hospital wide safety rounds which is posted on the EmployeeNet.
5. 10% - Member and Recording Secretary of the monthly Environment for Care Committee. Maintains membership list, notifies members, prepares and distributes minutes and agendas. Attends, records and distributes minutes for the Quarterly Plant Operations meetings: attends monthly EVS departmental meetings, records minutes and maintains records.
6. 5% - Content Worker for Policy & Procedures in the Maxima/Trove system.
7. 5% - Establishes, maintains and revises record keeping and filing systems; classifies, sorts, creates and files correspondence, records and other documents.
8. Fulfills all compliance responsibilities related to the position.
9. Performs other duties as assigned.
Education: HS GRAD/EQUIVALENT
Other Information:
Required: High School graduate. Microsoft Word, Excel, Outlook, and Power Point. Works on multiple projects. Strong written and verbal communication, and organizational skills. Requires 1+ year experience providing administrative support. Associate�s Degree preferred.
