Job Summary

The Department of Natural Sciences in the College of Arts, Sciences, and Letters (CASL) is seeking an energetic and innovative Department Manager, reporting to the Business and Financial Operations Administrator in the CASL Dean?s Office. This role is responsible for all administrative, financial, and budgetary support for the Department of Natural Sciences. Who We Are

The University of Michigan-Dearborn (UM-Dearborn) is one of the three campuses at the University of Michigan. UM-Dearborn, a comprehensive university offering high quality undergraduate, graduate, professional and continuing education to residents of Southeastern Michigan, attracts approximately 9,000 students. The Department of Natural Sciences includes the disciplines of biology, chemistry, and physics, and the interdisciplinary areas of biochemistry, earth and environment, and microbiology.

Responsibilities*

The position is responsible for all administrative, financial, human resource, and academic work performed in the Department of Natural Sciences, including the following:
 

Provide administrative, operational, and strategic support to the Department Chair including the collection, compilation, analysis, and reporting of financial information, research grants, contracts, and ad hoc reports by the College.Manage and facilitate faculty renewal of H-1B/TN/E-3 status and create immigration status renewal memos.Management of the LEO contract for the Department of Natural Sciences, including analysis for needs, liaison with the Dean?s office regarding LEO issues, and develop processes in the department to maintain compliance.Track LEO leave reporting within contractual requirements.Ensure that all PARs, workbooks, reviews, and contract letters are accurate for LEO lecturers.Work directly with the Business and Financial Operations Administrator and the Department Chair to identify opportunities to leverage efficiencies and improve support for faculty and students.Conduct final reconciliation of department expenditures, payroll registers, and budget charges, operating, faculty PDF, Startup, Grant and Gift accounts.Oversee the preparation of the operating budgets as well as journal entries as needed.Approve travel and expense reports for the department.Recruit, train, supervise, mentor, and evaluate administrative staff in the Natural Sciences Administrative office.Maintain department records and policies, including annual gap analysis and space surveys.Oversee faculty searches, including Interfolio casebooks.Supervise the Promotion and Tenure process and serve as a liaison with the Dean?s office.Manage the preparation and processing of leaves of absences as well as sabbaticals.Manage the course scheduling process with the department chair, including ensuring notification to students of course cancellations and schedule changes.Support the Department Executive Committee with agenda preparation, minutes, as well as tracking all follow-up items.Provide support for Study Abroad Programs.Manage salary administration tasks including merit letters, MOUs, and payment processing.Manage all building access, key and MCard requests.Other duties as assigned.

Direct Supervision: Administrative Assistant

Required Qualifications*Bachelor's degree in accounting, finance, or business administration or related field of study with at least five years of administrative or related experience.Experience with budget preparation and monthly and annual financial reporting is required. High financial acumen and experience is required.Strong supervisory background with at least two years of supervisory experience.Demonstrated high-level interpersonal skills and positive service-oriented attitude.Ability to take initiative, solve problems, adapt to changes quickly, make independent judgements, and work effectively independently.High level of professionalism and adaptability.Excellent written and verbal communication skills.Ability to establish effective working relationships and collaborate with faculty, the department chair, administrators, and staff.Extensive experience with prioritizing and handling multiple assignments and deadlines simultaneously when needed and the ability to adjust and change priorities and receive direction from multiple people.Experience with computer software such as Word, Excel, and PowerPoint.Knowledge of tools such as GoogleDrive, GoogleSheets, GoogleDocs, GoogleSlides, and Dropbox.Desired Qualifications*Advanced degree in accounting, finance, or business administration or related field of study with six years of related administrative experience.At least 2-3 years of higher education administrative department experience, i.e., administrative support experience in U-M department or program.Experience working in a union environment.Familiarity with university policies and procedures as well as organizational operations and procedures.Knowledge of University financial systems (M-Pathways, Business Objects, M-Reports, Emburse, etc.) and other administrative systems such as Interfolio, Banner, and Marketsite.Work Schedule

Department hours of operation are Monday through Friday 8:00 a.m. to 5:00 p.m. Most of this position will be onsite but 1-2 days per week of remote work may be available.
