We have an exciting opportunity for an experienced Administrative Professional/Assistant to support operations in San Diego, CA for our Financial Controls Team with the Finance & Administration organization.

This position is responsible for providing direct assistance to a Senior Director and Director, and other members of the Financial Controls team.  

DUTIES AND RESPONSIBILITIES:Manages access to and maintains their schedule which requires contact with internal management, staff, and external customers or officials.Coordinates schedules and ensures management is made aware of issues that need immediate attention.Prioritizes email and maintains follow-up system to ensure completion of each task or project. Utilizes judgment in determining which tasks can be handled and which tasks need to be directed to management or to other members of the organization.Interfaces with executives, managers, and staff as well as customers and visitors to gather and prepare information.Maintains confidential and specialized files and/or recordsPlans, schedules and coordinates various organizational meetings, events, and travel arrangements.Tracks progress of delegated staff assignments and may coordinate activities between departments.May be responsible for approving various ITS/Facilities requests on behalf of Sr. DirectorResponsible for gathering data and preparing presentations for staff meetings.Responsible for ordering of office suppliesResponsible for identifying needs and coordinating submission of requests for facilities, phone, computer, and other equipment necessary for new hires/transfersResponsible for inputting travel requests and expense reports for members of the Financial Controls team within the Concur application.Responsible for maintaining security badge access for auditors in restricted locations.Consolidate data in areas of responsibility. Maintain files and records relating to specific reporting activity.Perform a variety of support tasks such as Delegation of Authority, upload of audit reports and other documentation into our AMT (Audit Management Tracker), conduct Travel Reviews, review invoices and consultant agreements, and similar.Assist with maintenance and review of department-related SharePoint contentDemonstrates a collaborative attitude with the ability to work independently and take initiative.Maintains the strict confidentiality of sensitive information.Other duties as assigned or required.We recognize and appreciate the value and contributions of individuals with diverse backgrounds and experiences and welcome all qualified individuals to apply.
