SUMMARY\:

The College of Liberal Arts is home to 35 undergraduate majors, 36 minors, 23 certificate programs and 15 graduate degree programs. With its vibrant and diverse array of educational programs, the College of Liberal Arts plays a tremendous role in the university's academic success and its mission mirrors both the historical importance of the liberal arts in society and the principles on which Temple University was founded.  The College strives to prepare students for citizenship and careers, to create the foundation for a lifetime of learning, and to teach students essential skills - reading critically, thinking carefully, communicating effectively, appreciating diversity, and tolerating ambiguity. Reporting to the Chair of the Department and Manager of Administration of the Unit, the Department Coordinator is to provide student and administrative support services to faculty, students and staff in the Departments of English and First Year Writing. This support includes, but is not limited to, department administration, event support, and undergraduate and graduate student related administration.

Note\: This is a 10 month position paid over 12 months, meaning the position follows the academic year - August through May. The months of June and July are months not worked.  The pay for this position would be 10/12ths of the full time salary.   Full benefits and pay would be provided consistently over 12 months so there is no lapse in pay or benefits.

ESSENTIAL FUNCTIONS OF POSITION\:

Assist with registering undergraduate and graduate students as needed. 

Assist Chair and Graduate Director with managing files, correspondence and workflows related to graduate admissions and progress through programs (admissions, orientations, Department and University policy and procedural documentation and compliance, list-serv management, RA/TA/Fellowship contracts, progress-through-program tracking and reporting, awards and scholarships, support faculty committee meetings, and manage culminating experience requirements and exams).

Assist Chair with the planning, execution and promotion of department events.

Assist Chair with sourcing and tracking alumni contact and achievement data.

Assist Chair with general communications, department day-to-day activities, office management, management of student workers, and front line contact for faculty inquiries.

Assist Chair with posting events and announcements on social media platforms and websites.

Triage complex student issues to the correct personnel for assistance.

Manages “front office functions” including answering and returning calls, ensuring necessary supplies, functioning of equipment, managing the use of meeting spaces, supervising student workers, supporting special functions etc.

Coordinates travel reimbursement requests - ensuring compliance with budgetary and policy guidelines. 

Other duties as necessary.

EDUCATION AND EXPERIENCE\:

Bachelor's Degree and at least two years of directly related experience. An equivalent combination of education and experience may be considered.   

REQUIRED SKILLS AND ABILITIES\:

Must have a strong customer service orientation.  

Must have excellent verbal and written communication skills. 

Ability to work both independently and collaboratively with diverse populations of internal and external partners with professionalism, inclusivity and respect. 

Must have the ability to meet simultaneous deadlines, manage time effectively and be accountable and reliable. 

Able to properly handle confidential materials and use ethical judgment. 

Working knowledge of all applicable computer software, and management skills (including planning, negotiation, and communication skills).
