Are you a highly organized, proactive individual with a knack for office administration and facilities management? Penguin Random House, the largest trade book publisher in the world, is seeking a dedicated and hands-on Despatch and Office Administrator to join our dynamic team in our Southbank office in Melbourne. This is a part-time role from Monday to Thursday, 4.5 hours a day. You will be the face of the business during the busiest office hours to all our external clientele including customers, suppliers and visitors who attend our office.
Responsibilities:
Manage the mailroom, including distribution of incoming and outgoing mail and parcels. Coordinate courier services and troubleshoot dispatch issues. Maintain and order office and kitchen supplies. Perform general office duties such as printing, binding, laminating, and updating files. Process expenses and invoices using Serko and Basware. Provide administrative support to colleagues as needed. Assist with the day-to-day running of the office and liaise with building maintenance. Ensure building access, manage security passes, and coordinate desk moves. Attend Fire Warden meetings and maintain emergency procedures. Assist HR with preparing Welcome Packs for new starters. Greet visitors and assist with setup for staff events.You Are:
Experienced in administrative support roles. Personable and approachable with strong communication skills. Detail-oriented and able to work autonomously. Proficient in Microsoft Word and Excel. Organized with the ability to handle multiple projects and meet deadlines. Adaptable, proactive, and able to work under pressure.
