Job Description

The Despatch Coordinator is responsible for overseeing and coordinating the despatch process, ensuring that goods are packaged, scheduled, and delivered accurately, on time, and in compliance with company standards and customer requirements. This role involves effective communication with internal departments, external suppliers, and customers to facilitate seamless despatch operations.

Key Responsibilities:
1. Despatch Planning:

Coordinate and schedule daily despatch activities to meet delivery deadlines.

Prepare and manage despatch schedules, ensuring efficient and timely transportation of goods.

2. Order Fulfilment:

Verify and cross-check outgoing shipments against customer orders and documentation.

Ensure all goods are appropriately labelled, packaged, and meet quality standards before despatch.

3. Communication:

Liaise with customers, carriers, and internal teams to confirm delivery requirements and address queries.

Provide regular updates to stakeholders on delivery schedules, delays, or issues.

4. Documentation & Compliance:

Prepare and process all necessary shipping documents, including invoices, packing lists, and delivery notes.

Ensure compliance with legal, safety, and regulatory requirements for domestic and international shipments.

5. Inventory Coordination:

Work closely with stores staff to manage stock levels and allocate inventory for despatch.

Monitor and report discrepancies or damage to inventory and shipments.

6. Performance Monitoring:

Track key performance metrics such as delivery times, accuracy, and customer satisfaction.

Identify areas for process improvement to enhance despatch efficiency and effectiveness.

7. Problem Resolution:

Proactively address and resolve issues such as delivery delays, incorrect shipments, or carrier disputes.

Develop contingency plans to minimise disruptions in despatch operations.


Basic Requirements

Please note this role is based on site at our Ware offices five days a week.

Skills and Competencies:

Strong organisational and multitasking skills.

Excellent communication and interpersonal skills.

Attention to detail and accuracy in order processing and documentation.

Ability to work under pressure and meet tight deadlines.

Problem-solving skills and ability to think proactively.

Knowledge of logistics and transportation processes.

Proficient in MS Office Suite (Word, Excel) and ERP/WMS software (e.g.,

Sage 200, SAP, Oracle, or similar systems).

Qualifications:
Experience:

Minimum of 3 years’ experience in a logistics, despatch, or warehouse

coordination role.

Familiarity with inventory management systems and shipping

procedures.

Working Conditions:

Shop floor-based environment.

Require lifting or handling of packages.

Flexibility to work extended hours during peak periods.

Key Performance Indicators (KPIs):

On-time delivery percentage.

Accuracy of despatch documentation.

Customer satisfaction ratings for delivery.

Number of shipment errors or delays.
