General Overview:
The Development Coordinator performs a variety of clerical functions and provides general administrative support for the department to facilitate the efficient operations of the office.
Essential Responsibilities:
+ Provides routine and general administrative support for the Office of Medical Development and Alumni Relations.
+ Supports department and/or department leadership with daily clerical tasks.
+ Answers phone calls, screens, and routes calls to appropriate destination, provides information to callers and records accurate messages when necessary and distributes accordingly while providing exceptional customer service to further a positive institutional image. Interfaces with other departments to identify and resolve challenges.
+ Responds to routine inquiries from external or internal sources with standard correspondence or other messaging.
+ Arranges meetings to include any required catering as needed and handles conference room and mobility space reservations.
+ Assists with office operations: seating/floor charts, staff list, space access, recruitment, onboarding and off boarding.
+ Assists with maintenance of office space and equipment: building related issues, document disposal, equipment inventory, etc.
+ Assists with office service activities such as conference room and mobility space reservations, supply inventory and ordering of supplies.
+ Schedules appointments and updates calendars.
+ Makes travel arrangements and reservations for department leadership and staff, as needed.
+ Assists with confidential correspondence, agendas, reports, presentations, and other projects as needed. Maintains project files both electronically and in hard copy.
+ Prepares and submits procurement requests for development fundraising teams.
+ Processes financial transactions such as mileage and business expense reimbursements for Medical Development’s fundraising team.
+ Primarily exercises discretion, confidentiality, and independent judgment in daily communications, tasks, and activities.
+ Adheres to University and unit-level policies and procedures and safeguards University assets.
+ Serves as back-up for Sr. Administrative Assistant (or equivalent) needs and may provide support to other units/staff as needed.

Qualifications:
Education: High school diploma or equivalent with a minimum of one year of relevant experience. Equivalent combination of education and experience may be considered.
Experience: Minimum 3 years of relevant experience.
Knowledge, Skills and Attitudes: Must be solution-oriented and able to work independently to successfully complete projects on deadline. Excellent command of the English language, with a high level of creativity, attention to detail and superior customer service skills. Proficient in Microsoft Office applications (i.e. Microsoft Word, Excel, and Outlook). Must have initiative mixed with good, sound judgment, and a high level of discretion to handle sensitive information. Must be able to handle multiple projects simultaneously and work in a dynamic team environment across multiple divisions.
