The Development Coordinator provides administrative support to the development office and most especially the fundraising team, enabling them to focus on cultivating, soliciting, and stewarding donors. This role is responsible for managing complex calendars, assembling donor packets, preparing presentation materials, coordinating meetings and tours and supporting data entries to ensure the gift officers operate efficiently and effectively. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work collaboratively with various team members and stakeholders.
ResponsibilitiesAdministrative Support for Office
Provides administrative support for the office in general, most especially the gift officers.Coordinate complex appointments involving faculty, donors and gift officersEnsure meeting readiness by organizing materials, sending reminders, and confirming details.Support meeting travel arrangements and itineraries as needed.
Support Services
Manages and coordinates the day-to-day Pcard in support of the development operations.Supports the gift officers and alumni relations with travel, reimbursements, purchasing and ordering supplies via the PCard.Provides general office operational support
Community & Fundraising Event Support
Support community engagement director with 3rd party and on-campus event needs, inclusive of materials, supplies, and logistics.Support gift officer events led events to focused on attendance and attention to the follow-up details for meaningful experience for attendees.
Presentation & Materials Preparation
Prepare, edit, and format presentations, reports, and other materials to support donor cultivation and solicitation.Compile and assemble donor packets, information sheets, and other materials for meetings and events.Ensure accuracy and professionalism in all materials sent to donors, partners, and internal stakeholders.
Database and Record Management
Input and update donor information in the database, maintaining accurate and confidential records.Generate standardized reports and track donor interactions as requested by gift officers.Assist in tracking and managing deadlines for various donor-related projects and proposals.Provides back up support for gift entries, acknowledgements and other day-to-day gift processing responsibilities.
General Support
Serve as the primary point of contact for general inquiries from donors, partners, and staff.Perform additional administrative duties as needed to support the overall goals of the Development team.Serves as back-up to the Executive Assistant, as needed.Performs other duties as assigned
QualificationsAssociates Degree or bachelor’s degree preferred
Prior experience in an administrative role, preferably in non profit or higher education
Candidate should be able to bring the following to this position:
