Digital Document & Distribution Officer

The Service & Team:

This vacancy is for 1 x full time permanent member of staff. 

This is an exciting opportunity to join our Document Management Team within Business Support & Administration, who are part of the Customer & Business Operations (CBO) Service. In addition, these services are based within the Customer & Support Services (CASS) Directorate within Cornwall Council. 

 

The Role:

As a Digital Document & Distribution Officer, you will be directly reporting to the Document Management Business Lead and/or the Digital Document & Storage Coordinator. You will be working in a number of functions across the team, providing a Document Management, Distribution and Digital Mailroom Mail service across the Council estate and for a number of our partners.

You will be working on a number of scanning projects and when required, will be expected to collect, deliver and move physical items around the Council estate using one of the Document Distribution fleet vans. 

In addition, the Team’s primary focus is turning “Physical into Digital” by providing a number of scanning services in keep with the teams “Paper Light Authority “ethos. You will be the first in handling all of the Council’s inbound physical mail, each day, and then responsible for digitising this onto the Councils Digital Mail platform. 

As a member of the team, you will ensure document compliance is in line with recent legislation and best practice codes adhering to GDPR and the Data Protection Act 2018 principles, updating and creating information retention policies and procedures whilst offering this advice to all internal and external customers within the business function.

As part of the Document Management team you will be responsible for managing the offsite storage facility inventory which involves ordering supplies, retrieving and returning stored boxes on behalf of multiple teams and ensuring confirmed destruction of document boxes are completed.

This role may be subject to a Disclosure and Barring Service check (DBS)

Please view the role profile attached.  Your application will need to demonstrate how you meet the required criteria and due to the necessity to use scanning equipment, this role will require working within a Council Office daily (New County Hall,) and you may need to travel to other Council sites or buildings.

 

What you’ll need to succeed:

You will have experience of building and maintaining productive customer relationships both internally and externally. You will have enhanced inter-personal skills, acting as a point of advice and guidance for customers at all levels across the Authority.

You will have a full and clean driving licence and will be expected to work in a number of activities (i.e scanning, distribution) switching between, at short notice, where required. 

You will have excellent working knowledge of electronic document management with a commitment to maintain knowledge in order to provide advice and guidance to others, enabling you to develop new work streams and income channels.

You will be experienced in all statutory guidelines and best practice in the safe keeping of electronic documents i.e. GDPR. 

You will be competent in the use of Microsoft packages across the platforms suite and experience is using generic computer systems.
