Your New Role...
To ensure seamless tracking, delivery, and management of digital assets, licensing processes, and client orders, maintaining high standards of customer satisfaction.To support the Senior DOE and wider team in re-licensing, order management, metadata, and publicity asset provision, ensuring operational efficiency.To uphold meticulous record-keeping for lab billing and licensing, contributing to accurate tracking and reconciliation.To provide technical assistance for Cloudlab operations, including asset ingestion, JSON file creation, and system maintenance.To act as a point of contact for internal and external stakeholders, ensuring smooth communication and resolution of queries.Your Role Accountabilities...
Track all orders to ensure timely delivery by labs for various sectors, including Hotels, Transport, Healthcare, Maritime, and UK STSL.Send delivery notifications to clients for Cloudlab and Swank orders, ensuring downloads are completed before expiry.Resolve file rejections from licensees efficiently.Monitor external SWANK website and internal Team’s dashboard to confirm accurate order placements.Compile and distribute weekly outstanding orders email to the business, following up as needed.Re-licensing and Tracking:
Maintain and distribute the Licensing Tracker to clients, ensuring adherence to licensing periods.Conduct digital stock checks and maintain the lab billing spreadsheet for accurate tracking and reconciliation.Provide re-licensing support to the Senior Digital Operations Executive.Metadata and Publicity Assets Support:
Assist with metadata and publicity assets for licensee orders and new titlesCloudlab Operations:
Assist with the ingestion and setup of digital files (video, audio, subtitles) into the Filmbankmedia Cloudlab system (AWS).Confirm delivery notifications to clients and ensure downloads are completed before expiry.Manage the creation and evaluation of dubcards for film and TV content, including transcoding, packaging, and delivery to meet licensee content specifications.Create JSON files for title ingestion into Filmbankconnect/VSR systems.Order Management:
Handle DCP repertory orders and provide back-up support for order placement, including holiday cover.New Client Setup:
Facilitate first-time client setups, coordinating with Tech Ops to verify specifications against CPQ.Ensure licensee contracts are set up accurately in the system.Prepare and send spec forms to labs for order readiness.Oversee the testing process with licensees and labs to ensure successful onboarding.Qualifications & Experience...
Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.Basic to intermediate knowledge of Adobe tools such as Photoshop and Premiere Pro.Desirable: Familiarity with video and audio encoding technologies.Some understanding of programming concepts.Strong attention to detail and a highly organised approach.Ability to multi-task and manage priorities effectively.Excellent customer service and interpersonal skills.A proactive and adaptable ‘can-do’ attitude.Hybrid Working - This role is advertised as a Hybrid work model, that combines remote and in-office work, following our current company policy and to be agreed with your Line Manager.
