Your Role:The Digital Services Operations Manager is responsible for overseeing the day-to-day operations of the department with a current heavy focus on Scheduling and Sales education. This role involves coordinating with sales, clients, reporters, the transcription team and other team members to ensure the smooth and efficient execution of deposition proceedings and deliverables. Other responsibilities consist of:
Client Management:
Respond to client inquiries and requests in a timely and professional manner.
Coordinate with clients to gather necessary information for deposition preparation.
Educate clients on available services and best options.
Provide tech support to clients regarding remote connections.
Scheduling Management: (to eventually be taken over by separate Scheduling Team reporting to Ops Managers)
Schedule depositions based on client needs and reporter availability.
Assign reporters to depositions based on workload and expertise.
Communicate deposition details, including location, time, and client information, to reporters.
Monitor reporter performance and provide feedback as needed.
Coordinate needs with reporters post assignment directly to Transcription Team
Sales Collaboration:
Familiarization with the sales process, from prospecting to closing deals, helps in aligning operations with sales strategies.
Familiarity with key performance indicators (KPIs) used by the sales team allows for effective tracking and support.
Communicate effectively with sales team to understand their needs and provide timely support.
Listen attentively to client requirements and convey them accurately to the operations team.
Commit to understanding client needs and ensuring their satisfaction.
Anticipate and address client concerns before they escalate.
Adapt to the evolving needs of clients and the sales team.
Willingness to receive feedback from sales representatives and make necessary adjustments.
Work collaboratively with sales representatives to achieve common goals.
Willingness to share information and ideas openly with the sales team.
Learn and develop as an SME available to the sales team.
Operations Oversight:
Ensure that all deposition proceedings are conducted in accordance with legal and company standards.
Monitor and maintain inventory of deposition equipment and supplies.
Coordinate with IT department to ensure proper functioning of deposition technology.
Coordinate with Depo Production and Depo Billing teams as needed
Assist with the development and implementation of operational procedures and sales tools.
Quality Control:
Review deposition transcripts for accuracy and completeness as needed (rare).
Implement quality control measures to ensure the highest standards of service.
Qualifications:Technical Skills:
Microsoft Office Suite: Proficiency in Word, Excel, Outlook, and PowerPoint is essential for managing documents, spreadsheets, emails, and presentations.
Deposition Software: Familiarity with deposition recording and transcription software is crucial for overseeing the technical aspects of depositions.
Legal Terminology: A basic understanding of legal terms and procedures is necessary to communicate effectively with clients and reporters.
Knowledge of internal TP Systems: Stylus, Reef Exhibit, Reef Central, Project A
Soft Skills:
Organizational Skills: Ability to manage multiple tasks, prioritize deadlines, and maintain a high level of accuracy.
Communication Skills: Excellent verbal and written communication skills to interact with clients, reporters, and colleagues.
Problem-Solving Skills: Ability to identify and resolve issues that may arise during depositions.
Customer Service Skills: Strong interpersonal skills to provide exceptional customer service to clients.
Attention to Detail: Meticulous attention to detail is essential for ensuring the accuracy of deposition transcripts and records.
Time Management: Effective time management skills to meet deadlines and manage workload efficiently.
Teamwork: Ability to collaborate effectively with team members to achieve common goals.
