JOB SUMMARY   

We are seeking a motivated and experienced Digital Print and Mail Director to lead our department. The Director will oversee all aspects of operations, including outsourced mailrooms, and drive revenue growth through strategic sales initiatives. This role will supervise a team in providing efficient and timely mail services, ensuring proper handling and mailing of bulk external correspondence.

The ideal candidate will have a strong background in digital printing and in-house mass mailing services, exceptional leadership capabilities, and a proven track record of achieving ambitious sales targets, all while delivering excellent customer service.  Ability to work flexible hours, and days including Saturdays as needed.

You will be responsible for overseeing, managing, and working across various locations throughout New York City.

Additional responsibilities include managing personnel, equipment, vehicles, supplies, and administrative tasks to meet operational and financial goals. The successful candidate will ensure that all contractual and non-contractual requests are completed on time and following Statements of Work (SOWs) and other contractual obligations.  As the Director, you will be required to visit, work, and manage multiple locations throughout NYC.

ESSENTIAL FUNCTIONS

Bi-weekly Payroll: Review, adjust as needed, and approve payroll for final processing. Ensure compliance with federal, state, and local payroll regulations. Verify the accuracy of employee timecards, including overtime. Address payroll discrepancies and resolve employee payroll inquiries. Coordinate with Senior Director and HR to process new hires, and terminations. Operational Management: Oversee daily operations of the digital print and mail and mailrooms, ensuring efficient workflow and timely delivery of services. Sales and Revenue Growth: Actively pursue and develop new revenue streams through strategic sales efforts, including identifying new business opportunities, nurturing client relationships, and expanding the department's market presence. Team Leadership: Supervise and motivate a team of print and mail professionals, overseeing hiring, training, and performance management to foster a productive and engaged workforce. Quality Control: Ensure all print and mail jobs meet high standards of quality, accuracy, and customer specifications. Maximize Efficiency: Utilize technology and software to optimize processes, increase efficiencies, and enhance productivity across the department. Customer Service: Address customer inquiries and complaints promptly and professionally, providing effective solutions to enhance customer satisfaction. Inventory Management: Monitor and manage the inventory of printing materials and supplies, ensuring adequate stock levels and minimizing waste. Scheduling: Create and manage work schedules, coordinating staff coverage for weekends and peak periods to ensure consistent service delivery. Budget Management: Assist in budget preparation and manage expenses to ensure cost-effectiveness and profitability. Process Improvement: Continuously evaluate and enhance operational processes to increase efficiency, productivity, and overall performance through technology and software. Compliance: Ensure all operations comply with industry regulations and company policies, maintaining a high standard of operational integrity. Budgeting and Financial Management: Prepare and manage the departmental budget, ensuring cost efficiency. Oversee P&L responsibilities, analyzing financial performance and implementing strategies to optimize profitability. Monitor expenses and ensure alignment with budgetary constraints. Contractual Compliance: Ensure all contractual and non-contractual requests are completed on time and per Statements of Work (SOWs) and other contractual obligations. Billing: Ensure accurate billing for all services, including daily tasks, contract work, internal print and mail requests, and subcontracted work, while also ensuring timely collection of payments. Managing Multiple Locations: Oversee operations across multiple locations throughout NYC, including a new contract in Manhattan.

QUALIFICATIONS

Education and Job Experience

Required:

Proven Experience: Minimum of 5 years in a Director or managerial role within digital printing and in-house mailing services. Organizational Skills: Exceptional organizational and time management abilities to ensure smooth operations. Customer Service: Excellent customer service and communication skills, with a focus on client satisfaction. Technical Proficiency: Proficiency in operating digital printing and mailing equipment. Inventory and Budget Management: Strong familiarity with inventory management and budget control. Flexibility: Ability to work flexible hours, including occasional weekends. Attention to Detail: High attention to detail with a commitment to quality. Educational Background: BA Degree in Business Management preferred or 5-10 years of comparable field experience. Interpersonal Skills: Excellent interpersonal skills and a collaborative management style. Communication Skills: Outstanding verbal, analytical, organizational, writing, and presentation skills. Financial Acumen: Deep understanding of accounting, invoicing, reporting, and annual budgeting. Adaptability: Ability to excel in a fast-paced, community environment. Multi-tasking: Strong multi-tasking abilities to handle various responsibilities simultaneously. Sense of Urgency: High sense of urgency to meet deadlines and address issues promptly. Knowledge of Planet Press and BCC postal software. Extensive knowledge of USPS regulations: Ensure all mail services comply with federal postal guidelines, including bulk mailing requirements, postage rates, and mail classifications. Proficient in postal software: Experienced with PlanetPress and BCC postal software. Familiar with shipping regulations: Well-versed in US Postal, FedEx, and UPS regulations. Skilled in print production: Adept at utilizing Fiery Command WorkStation for print production, including flyers, pamphlets, brochures, business cards, and more.

Preferred:

Bachelor’s degree in graphic design, Business Management, or a related field. Experience with Solimar, Planet Press Connect, Flash XP, FTP, Oracle, Microsoft Platform, Mail Manager, Excel, PDF format, Command Fiery Workstation  Experience with print production software and technologies. Knowledge of industry standards and compliance requirements. Experience in sales and business development within the printing and mailing industry.
