About the Job:
Provide comprehensive support to the CEO through exemplary management of daily operations, ensuring CEO may focus on driving business results as well as lead and coach Executive Administrators. Operate as an extension of the CEO.
A day in the life, what you’ll be doing:
Core Accountabilities:
CEO Support & Executive Assistance: Act as the primary point of contact for the CEO, managing daily scheduling, meeting coordination, and communications. Provide high-level administrative support including organizing meetings, preparing agendas, and ensuring follow-up on action items. Handle confidential information with discretion and integrity. Anticipate the CEO’s needs and proactively address any arising issues or requests. Travel & Logistics Management: Coordinate all aspects of the CEO’s travel, including flights, hotel accommodations, ground transportation, and itineraries. Ensure all travel plans are aligned with the CEO's schedule and provide real-time support for any changes or emergencies. Prepare travel and meeting schedules to maximize productivity during trips. PowerPoint Presentations & Documentation: Assist the CEO in preparing presentations, reports, and other documents in PowerPoint and other software. Ensure presentations are visually appealing, accurate, and aligned with company brand. Compile and review information for meetings, making sure all necessary data and resources are available. Event & Project Management: Oversee the coordination of corporate events, including offsite meetings, conferences, team-building events, and other CEO-related engagements. Manage event logistics, including venue selection, catering, guest lists, and presentations. Support the CEO on various strategic projects, ensuring all milestones are met and tracking progress on key deliverables. Non-Business Hour Support: Provide flexible and on-demand support outside of regular business hours as required, especially for urgent matters or executive-level needs. Maintain availability for after-hours meetings, events, and calls to ensure the CEO has everything they need to be successful. Anticipate and manage potential issues that could require CEO attention during non-business hours. Communication & Relationship Management: Handle incoming and outgoing communications on behalf of the CEO, including emails, phone calls, and messages. Build and maintain positive working relationships with senior leadership, clients, partners, and external stakeholders. Assist in preparing internal and external communications, including memos, announcements, and briefings. Executive Admin Team Leadership: Operate with the highest level of conduct, integrity, and confidentiality; setting the example for Executive Admin Team. Lead Executive EA team in daily operations. Maintain supplies, initiate and execute maintenance requests, uphold cleanliness and order including meeting rooms, restrooms, and kitchen. Coach Executive EA team in skill development, organization, time management, and Executive presence. Lead Executive EA team in management of PTO Schedules and Direct EA Holiday Coverage.
What it takes to Join:
10+ years Executive Administrative Assistant with experience supporting multiple executives, including CEO. 4 year BS/BA in Business or Communication is ideal. Experience in Microsoft Office including Powerpoint, Excel, Outlook, Teams. Available to work during non-business hours as needed. Successful and complex multiple calendar management required. Experience interacting with Board of Directors. Event planning experience is desirable.

Salary Range: $143,000 - $161,000

Ability to work in open environment with fluctuating temperatures and standard lighting. Ability to work on computer and mobile phone for multiple hours; with frequent interruptions. Required to travel in elevator or stairwells to attend meetings and engage with associates on multiple floors throughout building. Hotel, Airplane, and Car Travel may be required.
Position Type/Expected Hours of Work:
This is a full-time position. As a National Retailer, occasional evening and/or weekend work may be required during periods of high volume. This role operates in a professional office environment and routinely uses standard office equipment.
