Job Summary

Wilberforce University is seeking a Director of Academic Operations who supports the University mission by ensuring that all student records are accurate, updated, filed, and safeguarded in accordance with the Family Educational Rights and Privacy Act (FERPA) and Higher Learning Commision guidelines. The Director of Academic Operations is responsible for ensuring students are registered in University authorized majors and for making updates to student’s degree plans and academic record to ensure accuracy, evaluates students for eligibility for degree conferral, processing University withdrawal and enrollment verifications and provides customer service support to students through email and phone calls.

The Director of Academic Operations will also process official transcript requests submitted to the Registrar’s office. This individual must possess the ability to thrive in an extremely dynamic work environment while consistently applying critical thinking and professional judgment while serving a diverse population. This position will report directly to the Registrar.

Essential Duties & Responsibilities Process all incoming documents to the Registrar’s Office and ensure that the student’s record or request is processed accurately within 95% accuracy and within 24-72 hours. Documents include but are not limited to name changes, registration track changes, course withdrawals, University withdrawals, graduation applications, transcript requests, grade changes, incomplete contracts, enrollment verification, degree verification letters, etc.) Process student records changes such as status changes, attendance withdrawals, academic standing statuses (provisional and SAP) Make updates to student degree audits which include program changes, addition of or changes to specializations, and posting additional credit to a student’s degree plan Complete degree audits to notify students of final degree requirements Respond to phone calls and emails within 24 hours Meet with federal investigators and process requests on campus Assist in processing incoming documents while on campus Other duties as assigned

SUPERVISORY RESPONSIBILITIES

Reading Comprehension Written & Oral Communication Active Listening Critical Thinking Minimum Qualifications Bachelor’s degree from a regionally accredited university At least one (1) years of experience in higher education One (1) year of experience working in a Registrar’s Office Experience evaluating and updated student degree plans preferred Wilberforce University
