Job Description
The annual salary range for this position is at $66,54 - $88,730. We take into consideration an individual’s background and experience in determining salary; therefore, base pay offered may vary considerably depending on job-related knowledge, skills, and experience. The compensation package for full-time includes a wide range of benefits (medical, dental, life, disability, and more) as well as generous paid time off and free membership. Part-time benefits will vary.
1. Job Summary:
The Director of Grants Management and Compliance is responsible for ensuring the YMCA’s fulfillment of grant terms and contracts including city, county, state, and federal grants awarded throughout the organization. Develop and maintain processes and systems necessary for grant/contract oversight and reporting. Coordinate with internal stakeholders to ensure the YMCA is achieving agreed-upon grant deliverables and success is communicated externally to institutional funders through grant reports, site visits, and other means. Responsible for bringing systematic compliance processes into the program cycle and supporting internal systems to ensure positive outcomes for a portfolio of approximately 100 grants.
2. Essential Functions:
+ Lead post-award compliance and grants management, which includes but is not limited to:
+ Review, complete, administer, and submit all documentation regarding contract documents for city, county, state, and federal funders, as well as private and corporate funders when needed
+ Create and collaborate with cross-functional teams to create and execute strong systems and processes for funding with complex deliverables.
+ Ensure grant milestones, participation numbers, outcomes, and grant spend-down are executed on time, efficiently, and with quality.
+ Write and submit organizational grant reports; monitor all reporting deadlines and ensure on-time reporting.
+ Maintain an up-to-date awareness of and ensure grants compliance with internal policies and procedures, state and federal laws, and binding commitments to third parties.
+ Convene kick-off meetings with internal stakeholders to ensure the full understanding of grant terms and their role(s) in ensuring they are fulfilled. Coordinate, participate in, and lead follow up activities for post award site visits and program audits.
+ Identify and collaborate with program staff to implement responses to resolve areas of compliance concerns or emerging risks.
+ Build and maintain positive relationships with external audiences, including private and public program officers.
+ Serve as a liaison with finance, including pulling program-specific budgets, supporting the financial audit process, completing the budget modification process when appropriate, monitoring proper application of overhead rates, and partnering with finance and program teams to support appropriate spend-down of grant funds.
+ Manage information in the Raiser’s Edge NXT to track the full grant lifecycle and ensure all contract activities, reporting and deliverables are appropriately tracked.
+ Preserve files with post-award documentation and activities.
+ Manage the Grants Team’s library of supporting materials for proposals and reports, including template language, financial documents, board lists, etc., and ensure that all are up to date.
+ Collaborate with Sr. Director of Grants and Foundations to support contracted grant writers’ submission of grant applications and reports by providing administrative assistance, narrative review, grants attachments, and more.
+ Represent the YMCA and Mission Advancement team in a highly professional manner.
+ Other duties as assigned.
3. Relationships:
This position reports to the Senior Director of Advancement Operations who reports to the Senior Vice President of Philanthropy. The Director of Grants Management and Compliance interacts regularly with staff at all levels of the organization in many departments, including Mission Advancement, Finance, Operations, the Center for Social Impact and all the programs therein, Childcare, Camp and Adventure, and YMCA locations.
4. Qualifications:
Required
+ Bachelor’s degree or demonstrated experience may be considered in lieu of degree.
+ Minimum of five (5) years of experience in grants compliance.
+ Demonstrated success managing grants compliance for state and federal grants and multi-year grants of $1,000,000+.
+ Ability to work on multiple projects with fixed deadlines and ability to re-prioritize tasks as needed to successfully meet all deadlines.
+ Outstanding interpersonal skills with the ability to work with diverse groups.
+ Ability to problem solve complex issues in a fast-paced environment.
+ High level of independent thinking and judgement, combined with solid logical and ethical reasoning.
+ Strong project management skills, including planning, organizing, and leading multiple projects, establishing priorities and timelines, and meeting tight deadlines.
+ Proven ability to provide clear and concise written reports.
+ Strong computer proficiency with excellent command of Microsoft Word, Excel, Outlook, and other technologies.
+ Demonstrated personal and professional integrity, particularly with respect to maintaining ethical fundraising standards.
Preferred
+ Grants Management certification (e.g., National Grants Management Association, Federal compliance certifications, etc.).
+ A critical eye to detail and legal nuance.
+ Experience working within the Raiser’s Edge NXT and/or Apricot database.
+ Experience working across departments in a large, complex organization.
+ Bi/multilingual.
5. Work Conditions:
+ Must be able to work on a computer for extended periods of time.
+ Must be able to travel locally.
