Director of Operations
POSITION: Director of Operations DEPARTMENT: Operations REPORTS TO: General Manager FLSA STATUS: Salaried Exempt Compensation Competitive salary, commensurate with experience, and a generous benefits package that includes medical, dental, vision, life and disability insurance, paid vacation, and 401k plan. Summary The Director of Operations is responsible for the daily activities required to operate, maintain, and service the facility and/or events. The person in this position is responsible for overseeing and supervising full-time, part-time, and contracted employees and all related assistance in the day-to-day operations and management of the facility for the Maintenance, Public Safety and Security, Technical Services, AV Services, Event Services, and Housekeeping Departments in a 344,000-square-foot facility. Essential Duties and Responsibilities + Directs, supervises, and schedules all aspects of Operations, including Maintenance; Building and Grounds; IT/AV Services; Public Safety; Event Services, Event Security; Custodial Services and City Parking related building needs. + Coordinate the Operations activities with other departments and event-related contractors to assure facility readiness and smooth operation of events. + Implements and updates facility rules, regulations, policies, and procedures. + Provides clear, concise, and timely communication of directives to other departments. + Ensures that the Operations Department receives pertinent information for the most effective use of the facility and staffing. + Oversee maintenance of the building systems, equipment, and facility services. + Assists in the preparation of the Annual Operating Budget and recommends a capital budget for 1-year and 5-year long-range repairs and improvements to the facility. + Authorizes the requisition of equipment and supplies within budget guidelines. + Provides yearly inventory of all equipment. + Knows and ensures all laws, codes, ordinances, policies, procedures, Risk Management, safety precautions, rules/regulations, and emergency procedures are followed. + Develop programs to train all employees on Fire/Life Safety, Emergency, and OSHA Procedures. + Investigates, analyzes, and resolves operational problems and complaints. Conducts periodic staff meetings to discuss procedures, problems, and policy changes. + Works closely with the General Manager in the preparation and negotiation of Service Agreements. Reviews contracts for compliance with events and /or government specifications and suitability for occupancy. + Negotiates with vendors, contractors and/or service providers. + Develops and implement preventive maintenance schedules, emergency procedures, safety, and Risk Management policies in compliance with all Corporate and governmental regulations. + Acts as liaison to public utility, environmental, and energy agencies. Assist GM in implementation of any energy saving guidelines. + Coordinates and oversee special projects, such as construction, remodeling, or expansion. Plans and directs outside vendors/contractors work to assure compliance with contracts and safety requirements. + Lead and be present during all building emergencies, including but not limited to fire alarms, building system alerts, and weather-related events. The Director of Operations must remain on-site and oversee the building's safety protocols, ensuring a timely and effective response during critical situations, such as evacuations or severe weather conditions. The Director of Operations must be present and on-site during emergencies to ensure the building's safety and proper management. + Ensure department work schedules are aligned with event and building needs and provide leadership during high-profile events that involve major move-ins and move-outs, high public safety requirements, and large attendance numbers. The Director of Operations must be on-site to manage these events effectively and ensure smooth operations. + Conduct daily building walkthroughs to ensure facility cleanliness and identify any maintenance, housekeeping, or building interior and exterior needs. The Director of Operations must proactively address any issues to maintain a high standard of facility upkeep. + Lead with a proactive attitude towards customer needs, fostering positive interactions with all levels of staff, management, and guests. The Director of Operations must ensure exceptional service and communication across all touchpoints within the organization. The Director of Operations must ensure exceptional service and communication across all touchpoints within the organization. + Ensures the highest client/event service and cleaning support during events by conducting thorough building walks. + Works closely with the Event Managers, Maintenance, Food and Beverage, and clients to develop timelines, schedules, and action plans for event set-up and housekeeping services. + Serves as Director on Duty (DOD) as required. Supervisory Responsibilities Carries out supervisory responsibilities by all ASM policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints; and resolving problems. Education and/or Experience + Bachelor's Degree from technical college with a major in Management or Maintenance Engineering. + Minimum of 2 years’ experience in Supervising or Managing in a similar facility, preferably a convention center. + Working knowledge of tools, materials, and equipment utilized in event production, including forklift and scissor lift equipment. + Additional experience may be substituted for education. + Supervisory experience is required. Skills and Abilities + Excellent organizational skills. + Ability to prioritize and manage multiple projects simultaneously. + Good written, verbal, and interpersonal skills required; ability to interact with all levels of staff, including management. + Ability to effectively supervise staff. + Professional presentation, appearance, and work ethic. + Knowledge of Microsoft Office, including Excel, and must be able to learn Maintenance Manager Software program (ALTUM). + Ability to work with limited supervision and as a team member. + Ability to effectively interact with all levels of staff, management, clients, and guests. + Requires the ability to work flexible and extended hours, including nights, weekends, and holidays, in addition to normal business hours. + Other Qualifications + Available to work flexible and/or extended work hours, including nights, weekends, and holidays, since work involves short turnaround deadlines between and among scheduled events. + Professional presentation and appearance. + Possess a valid driver’s license. + Possess a Forklift Certification or the ability to obtain certification upon employment.
