\n \n Job Description

The Director of Operations manages a portfolio of properties determined by the Branch President and Vice President of Operations. The Director has the scope and authority to lead the team of assigned Community Association Managers within that portfolio to ensure employee and client retention, and growth. The Director is responsible for the intimate knowledge of the properties in the assigned portfolio and implementing a visitation and communication program to reach the on-site management, staff and those clients on a consistent basis. The Director is responsible for enabling and implementing processes, procedures, and systems associated with project initiatives of company-wide business processes. This role will direct operations and accounting staff to research and resolve client issues and interact with other departments in the pursuit of client services and to support the management team. They must make sure that the company’s services meet or exceed clients and customers expectations

SUPERVISORY RESPONSIBILITIES:

\n\nEstablish and maintain positive relationships and communicate successfully with leadership and support teams. To guide and mentor the team members.\nProvide supervision, oversight, and training for a staff of management, administrative and/or other support personnel\nImplement a proactive communication calendar to consistently communicate with our clients\nDetermine appropriate staffing needs and oversee onboarding and training\nPerform Performance Planning Reviews and regular check-ins with management staff within the portfolio\nDirectly responsible for action plans relative to retention efforts of at-risk clients including meeting attendance and account support up to and including transition to new managers and follow up with client and staff\nRecruits, interviews, hires, trains and develops the Property Management team.\nWorks with the Property Manager and Director of Finance to establish and administer the Portfolio Budgets\nAssist in resolution of escalated service issues\nHandles discipline and termination of employees in accordance with the company policy\n\n

ESSENTIAL DUTIES AND RESPONSBILITIES:

\n\nWeekly site visits to each property within the assigned portfolio\nCollection and evaluation of weekly management reports from the property\nReview and analysis of property’s monthly financial statements (including budget vs. actual analysis as needed)\nAttendance at client Board Meetings as needed\nAttend meetings with individual clients and prospective clients as needed\nResponsible for timely reporting and communication to leadership about client and assigned team and portfolio of clients\nResponsible for oversight of financial impact of operations to the Branch\nResponsible for team delivery of materials per contract to clients\nResponsible for delivery and adherence to company programs, information and directives\nParticipate and provide oversight of internal controls and management standards\nDirectly responsible for observing, displaying and promoting the Branch and Associa pillars, values and goals\nKnowledge of applicable state statutes\nKnowledge of all Associa operating systems and programs\nKnowledge of conflict resolution techniques\nPerforms other related duties as assigned.\n\n Requirements\nStrong verbal and written communication skills.\nTime management and time critical prioritization skills\nStrong supervisory and leadership skills.\n7-10 years of on-site Management in a full-service Florida Condominium Association\nKnowledge of GAAP at a proficient level\nExtensive knowledge of the principles, procedures, and best practices in the Residential / Community Management Industry\nExcellent organizational skills and attention to detail.\nStrong analytical and problem-solving skills.\nProficient with Microsoft Office Suite or related software.\nSelf-motivated and proactive\nWilling and able to travel daily within assigned portfolio/region\nMust have the ability to maintain a professional demeanor and appearance at all times\nStrong organizational skills, time management and time critical prioritization skills.\nAcquires and maintains current knowledge of state and regulatory agency statutes.\n\n
