The School of Social Work (SSW) has an outstanding opportunity for a **Director of Research Operations.** The Director works closely with the Office for Faculty Excellence and Research (OFFER), Associate Dean of Research and Assistant Dean of Finance and Administration to oversee the implementation of planned and awarded financial resources in research as well as innovation efforts in support of the various academic, research, self-sustaining and public service programs of the School. The position is key to ensure that all financial transactions and processes are fiscally and operationally in alignment with local, UW, State, and Federal policies and procedures for compliance. The role will be vital in both maintaining and revitalizing SSW’s research operations as well as aligning expenditures and revenues to UW Workday finance systems.
**DUTIES AND RESPONSIBILITIES** Program Direction & Management
+ Establishes strategic objectives for program capacity and services provided to researchers by the Dean of the School of Social Work and associated metrics for measuring and reporting progress achieved.
+ Develops, implements, and evaluates programmatic activities to build research capabilities and support the research culture in SSW in partnership with the Office for Faculty Excellence and Research (OFFER).
+ Oversees shared services environment for implementation of Workday Finance including but not limited to all shared services review, some entry as needed, and approvals for compliance for the entire School of Social Work business unit and related cost centers along with training new staff on Workday implementation; this is inclusive of reviews/entries of Workday related fiscal processes from expense reviews to procards and a sundry of journal approvals that affect the business operations of sponsored research and fee for service efforts.
+ Provides executive oversight of over $30M of annual sponsored research funding for the School of Social Work for the lifecycle of funds including initial intake of proposals for submission to post award administration and compliance.
+ Reviews and authorizes sponsored research proposals, agreements, and contracts via SAGE ensuring adherence to proper formatting and forms per sponsor requirements.
+ Supports investigators in submitting Just-In-Time and progress reports to sponsors via ASSIST and other non-federal sponsor portals.
+ Collaborates with faculty and project staff to develop proposals for fee for service contracts, including advice and guidelines regarding financial resource needs.
+ Oversees fiscal staff in the creation of project budgets, alignment with individualized sponsor requirements, and communication with subaward sites regarding required documents and timelines (the Director may fill in for these fiscal staff duties as needed).
+ Liaises with UW units from the Office of Research to the Human Subjects Division on research proposal submissions from budgets and required forms to Just in Time processes for research.
+ In collaboration with OFFER, creates and implements training resources on sponsored research submission including but not limited to development of policy and procedure manuals, timelines for submission, website development of resources for investigator and staff use, and presentations to the community on best practices for research submission.
+ Establishes and maintains accounting policies and procedures in partnership with the Assistant Dean of Finance & Administration that adhere to federal, state, and University regulations for compliance.
+ Oversees fiscal functions of pre-post award staffing to ensure adequate internal controls are established and maintained.
+ Creates and maintains relational database system to track all research and innovation funding across the School of Social Work.
+ Represents the School of Social Work at various UW grant and research offices and related committees and groups.
+ Creation and maintenance of key NIH data tables for grant submission in partnership with the Office of the Dean and related academic units.
+ Authorizes use of UW systems including SAGE (System to Administer Grants Electronically), ASTRA, Workday, EDW across the School of Social Work.
+ Supports and mentors the School of Social Work’s 14+ research and innovation units on both the grant submission process and oversight and management of the School of Social Work’s total research and innovation funding portfolio.
+ Prepares regular summary reports on the School’s grant and contract status for both OFFER and the Assistant Dean of Finance and Administration.
+ Collaborates with the Office of the Dean on annual and biennial close process for state and University-supported budgets.Staff Supervision
+ Supervises a team of 4 FTE in primarily post award and some pre-award research administration from assistance in research submissions to post award management of funds and sponsor requirements.
+ Trains and mentors staff from 14 research and innovation centers on all aspects of post award research administration from software program usage to reporting requirements for proactive management of sponsored research and related activities that adhere to federal, state, and UW fiscal policies and procedures.
+ Oversees monthly review and reconciliation of post award report processes to principal investigators including budget projections and requested analyses to proper UW documentation for records retention and verification of expenditures along with Workday Finance oversight and implementation.
+ At times when staff are on leave may assume roles of supervisees for business continuity purposes. This includes Workday transaction tracking and answering budget questions as needed.Other Duties as Assigned
+ Verification bi-annual reporting including Employee Compensation Compliance (ECCs).
+ Attendance at meetings on behalf of the Assistant Dean of Finance & Administration and/or OFFER.
+ Works on projects, as assigned, that require significant interpersonal, technical, and analytical skills. **MINIMUM REQUIREMENTS**
+ Bachelor’s degree (preferably in Business or Human Resources Management)
+ Five years of experience working in a University Human Resources setting (or equivalent combination of education and experience with an emphasis progressive research operational and financial responsibilities). **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Must be skilled in creating and using complex MS Excel spreadsheets and other information systems for financial management. Must also be experienced with using MS Word, and MS Powerpoint.
+ Demonstrated knowledge or ability to learn quickly the major UW systems including EDW, Workday, systems.
+ Ability to handle confidential information responsibly.
+ Ability to accurately analyze complex reports and communicates clearly to faculty and staff.
+ Must communicate well both orally and in writing and be able to understand both the details and the bigger picture.
+ Must demonstrate strong interpersonal skills and leadership, work independently and creatively, be a self-starter, team player, and a positive member of the School.
+ Must have prior supervisory experience and a management style that emphasizes teamwork, communication, collegiality, flexibility, trust, patience, and accountability.
+ Ability to work effectively with staff, faculty, students, other units on campus and the general public.
+ Must be excited to work in a diverse, dynamic, challenging environment and be invigorated by innovation. **DESIRED QUALIFICATIONS**
+ Research administration within a higher education setting. **CONDITIONS OF EMPLOYMENT**
+ Flexible working conditions but at times may need to work beyond standard hours for required reporting deadlines.
+ Typically, a 40 hour per week position; standard office environment 2+ days per week, hybrid work option.
