Dispatch Coordinator

Description We are looking for a highly organized and proactive Dispatch Coordinator to join our team in Baltimore, Maryland. This Contract-to-permanent position offers the opportunity to work in a dynamic environment where attention to detail and communication skills are essential. You will play a critical role in managing dispatch operations, coordinating schedules, and ensuring the smooth execution of administrative and operational tasks.
Responsibilities:
• Assign and monitor work orders and requisitions to vendors and facilities staff while ensuring timely completion.
• Prepare and balance work orders and requisitions for reporting purposes and payment processing.
• Utilize multiple systems to track work orders, manage supply orders, process vendor correspondence, and generate detailed reports.
• Collaborate with the Fiscal Department to analyze invoicing data and compile statistics.
• Operate office software to create, format, and edit various documents, including memos, spreadsheets, and statistical reports.
• Draft, proofread, and edit documents for supervisor review, ensuring accuracy and professionalism.
• Develop and maintain organized filing and record systems using innovative indexing methods.
• Coordinate with trades professionals, including electricians, carpenters, and plumbers, to ensure smooth operations.
• Manage communication with vendors and internal teams to address scheduling and operational needs.
• Monitor and maintain maintenance management systems to support operational efficiency. Requirements • Proficiency in Microsoft Office Suite, including Outlook, Teams, Word, and Excel.
• Experience with maintenance management systems and scheduling.
• Familiarity with trades such as electrical, carpentry, and plumbing.
• Strong organizational skills with the ability to manage multiple priorities simultaneously.
• Excellent written and verbal communication skills.
• Ability to analyze data and generate detailed reports.
• Demonstrated proficiency in dispatching and coordinating schedules.
