The Division Administrator is responsible for managing user access to the College's software systems and applications. This includes overseeing the provisioning, modification, and removal of user access permissions to ensure that only authorized individuals have access to sensitive data and systems. The role requires a strong understanding of access control policies, security best practices, and the ability to work closely with Finance, Procurement, Compliance, and IT teams to maintain the integrity and security of the institution's software systems.
The Division Administrator is also responsible for monitoring and reporting the financial aspects of state-side grants awarded to the College. This includes monitoring grant budgets, preparing financial reports, and tracking the progress of grant-funded projects. The Administrator will work closely with faculty, project managers, and financial officers to ensure proper allocation and utilization of grant funds, while maintaining accurate records and providing regular updates to internal and external stakeholders.
Key Responsibilities:
User Access Management:
+ Oversee the creation, modification, and deletion of user accounts and access privileges across various software applications, databases, and systems.
+ Ensure that access to systems is granted based on roles, responsibilities, and the principle of least privilege, ensuring that users only have access to the systems and data necessary for their work.
+ Maintain and regularly review access control lists and permissions to ensure that access rights are up-to-date and comply with institutional policies.
Access Auditing and Compliance:
+ Perform regular audits of user access and permissions to ensure compliance with security policies, regulatory requirements, and internal controls.
+ Generate access reports for auditing purposes, and address any discrepancies or issues found during audits.
Access Management Documentation:
+ Maintain up-to-date documentation on user access procedures, policies, and system configurations.
+ Regularly review and update access management processes to improve efficiency and security.
Grant Budget Monitoring:
+ Monitor detailed budgets for grant-funded projects, ensuring compliance with institutional policies.
+ Assist principal investigators (PIs) and project managers in planning and managing budgets throughout the lifecycle of the grant.
Financial Reporting and Compliance:
+ Prepare and submit regular financial reports to funding agencies, ensuring accurate and timely reporting of expenses, fund usage, and progress on grant objectives.
+ Coordinate with the finance department to ensure that all grant expenses are properly documented, and ensure compliance with federal, state, and institutional regulations.
+ Assist in preparing reports for internal stakeholders, such as department heads and senior leadership, on the financial status of grant-funded projects.
+ Support audits by preparing necessary documentation, responding to audit requests, and ensuring the institution's compliance with grant-related financial standards.
Communication and Coordination:
+ Serve as the primary point of contact for faculty, project managers, and external stakeholders regarding grant financials, budgets, and progress.
+ Assist with the preparation and submission of budgetary proposals for new grants, ensuring that financial data is accurate and in line with institutional standards.
+ Collaborate with the Office of Sponsored Programs and other relevant departments to ensure proper financial administration of grants.
+ Advise principal investigators and project managers on budgeting and financial reporting best practices to ensure compliance and financial accountability.

Job Requirements:
MINIMUM QUALIFICATIONS:
+ Bachelor's Degree in Business, Information technology or related field.
+ Minimum of five years of experience in an administrative role.
+ Proficiency in monitoring and documenting processes and outcomes.
+ Demonstrated ability to utilize Excel for high-level reporting and analysis.
+ Excellent verbal and written communication skills, and the ability to multi-task and work in a team environment.
PREFERRED QUALIFICATIONS:
+ Higher Education Experience preferred.
+ Experience in SUNY Business Intelligence Finance tool.
+ Demonstrated experience in access management and financial reporting.
Additional Information:
This is a full-time UUP position.
+ For the first 10 working days, beginning Thursday, January 9, 2025, and ending Thursday, January 23, 2025, applications will be limited to UUP Farmingdale.
+ CLOSING DATE FOR RECEIPT OF APPLICATIONS: Open Until Filled
+ SALARY: $65,000 + $3,400 in downstate location pay = $68,400 Total Compensation. Salary may increase commensurate with experience.
