The Divisional Office Administrator is responsible for the performance of accounting and administrative functions for a division. This position requires effective multi-tasking within a fast-paced work environment while receiving direction from the Senior Regional Administrator or the Regional Office Manager.

What you will be doing:

Responsible for performing a variety of general office functions, including data entry and the verification of daily/weekly project information. Performs various administrative duties including, but not limited to, answering and transferring incoming phone calls, sorting/delivering/processing incoming mail, and overseeing general maintenance of office equipment. Provide administrative support to divisional management and personnel. Compiles, enters, and verifies deadline driven payroll data and employee expenses into the accounting system. Analyzes and processes field paperwork to prepare for month-end job costing reports. Enters billings, verifies reports, and generates invoices. Generates customer quotes, backlogs, contracts, and change orders using our own specialized software. Prepares miscellaneous spreadsheets for accounting reports and EOP reporting. Provides field activity support for pre-blast required communications. Renews and obtains Dig Safe clearances online and through phone communications and authorizations. Negotiates hotel costs and makes reservations for personnel. Assists in obtaining blast permits for assigned Divisions. Assists other departments as needed. Assists in the set-up of monthly foreman’s meetings including any catering requirements. Performs other duties as assigned. Demonstrates a commitment to the “Safety First” mantra throughout the Company.

In order to be successful in this role, here is what we will need from you:

Broad base of general clerical, accounting, and office management knowledge. Strong knowledge of Microsoft Office (Word, Excel, and Outlook). Familiarity with Sage 300 software and Field Data Capture software. Prolonged periods sitting at a desk and working on a computer/PC workstation. Physical activity may also include bending, climbing, keyboarding, kneeling, lifting up to 10lbs, reaching, sitting, and standing, using the telephone, and walking.

About You

You are an experienced administrative professional with a minimum of a High School Diploma or GED, and 3-4 years of relevant administrative experience. An Associate's degree and experience in Accounting are also highly preferred. You are well-versed in organizing and maintaining moderately complex filing and job records systems. You also have superior time-management and interpersonal communication skills, and you thrive in a fast-paced, team-oriented work environment.
