Summary:
Assists in the daily operations of each divisional hospital and hospital based ambulatory HIM departments. Provides support and assistance to the HIM Manager/Director in developing departmental goals, operations and performance improvement initiatives while providing ongoing communication of pertinent issues.  Responsible for daily workflow adjustments utilizing reporting for volumes, production and team schedules maintaining optimal HIM operations.  Supports and collaborates with HIM leadership with the facilitation of onboarding and training of new and existing HIM Specialists and Release of Information team members. Preserves the security, confidentiality and integrity of the Legal Health Record and adheres to all policies and procedures.


Position Responsibilities:

Responsible for monitoring, tracking and troubleshooting the number of unbilled accounts utilizing Discharged Not final billed reports, inter-departmental communication workflow workqueues within Epic and shared files.  Expected to utilize resources/tools effectively to address and resolve issues impacting timely account processing (coding/billing) aiding department in meeting established Accounts Receivable goals.  Appropriately escalates and collaborates with HIM Manager/Director on any issues that impede timely resolution.

Monitors daily workflow and Epic workqueues for coding team, utilizing coding team and coding vendor schedules to optimize resources and ensure timely coding of accounts.

Monitors and performs document capture process of paper record (including prepping, scanning, indexing, quality review, etc.) into electronic legal health record, and manages electronic images in system (One Content and Epic). Monitors and ensures all scanned images are maintained according to established accuracy and quality requirements.

All scanning equipment is maintained according to procedure for optimal performance; works directly with HIM Manager for any service needs.

Responsible to perform Adjust Document Indexing (ADI) as needed on identified documents within a patient record that requires a change in index/document type or name.  Maintains scanned images are accurately identified within a patient record.

All manual index workqueues of unassigned images are monitored and new forms are identified, reference documents are updated and works in conjunction with HIM Manager/Director to ensure HIM team members are educated on the documents.

Validates interfaces to ensure receipt of clinical information from various systems into the electronic legal health record; reports discrepancies and assists HIM Manager with escalation and resolve.

Supports assurance of accuracy of demographic information within the legal health record including baby name changes/updates.

Ensures flow of clinical documentation to appropriate work queues for internal and external audits.  Coordinates with HIM leadership, communicating and providing requesters/auditors with access and navigation of record support as appropriate.

Participates in and performs quality audits and reviews as requested. 

Monitors/Performs analysis of documentation and assigns physician deficiencies to ensure timely completion and adherence to regulating agencies requirements for completion of legal health records (DOH, CMS, Joint Commission, Medical Staff Rules and Regulations, etc.).  Provides assistance, education and guidance to physicians/providers for completion of patients’ electronic health record and effectively communicates updates with divisional hospital HIM departments.

Assist with daily monitoring and completion of Epic In-basket work queues for MyChart and Release of Information requests and paper PHR/MyChart requests that are received through the Virtua’s Website email inbox. 

Assists with processing clinical information received through the One Content PAT (Pre-admission testing) Work queues for scheduled surgeries.

Assists with training/retraining, orientation, and development of HIM staff.  Mentors new and existing staff.  Participates and assists HIM Manager/Director with facilitation of Shared Governance, HIM Analysis, Specialists and Coding team meetings.

Oversee/perform release of information for hospital based ambulatory emergency room, ensuring accurate patient identification and accessibility/release of medical record information.

Discloses patient information to appropriate parties and ensures that information that is released from HIM is in accordance with applicable regulations and guidelines.

Maintains hospital paper record storage areas for accessibility until destruction of original documents ensuring all records are securely maintained.  Performs/supports final quality control review of paper documents prior to destruction.

Effectively monitors established quality and productivity standards to ensure that HIM goals and department standards are met.  Assists HIM Manager/Director with holding staff accountable and taking action as needed.



Position Qualifications Required

Required Experience:

At least 2 years of experience as a Health Information Management Specialist.

Demonstrated leadership ability, excellent communication, organizational and customer service/teamwork skills.  Must be able to make sound decisions, provide guidance/direction to various levels of team members.

Experience with an electronic health record system, with strong knowledge of medical record formats and ability to be detail oriented, performing tasks at a high level accuracy.

Ability to perform computer functions in a Microsoft Windows environment, and demonstrated competency to operate scanning hardware/software.

Required Education:

High School diploma or equivalent.
