Document Control Coordinator

Position Objective:

To properly prepare surgical Ambulatory and Procedure Care patient charts for surgery.

Provides excellent customer service skills and works cooperatively with a variety of individual.  Interacts effectively with patients, physicians, and co- workers.Processes confidential patient information and paper records efficiently and accurately according to established Health Information Management policies. Assists with the assembly of patient records for the ambulatory surgery.Communicates with physician’s office staff to ensure timely receipt and collections of all pre-operative labs, EKGs, medical and cardiac clearances and any other clearances that are required in order to avoid cancellation of ambulatory surgery. Communicates appropriate information inter and intra-departmentally.Collects all pre-op documentation required on all Ambulatory patients from every physician office.  Responsible for all Ambulatory charts completed by PREP staff and ready for surgery.  Answers all calls from patients, MD offices and Surgeons office staff throughout the day with any and all questions regarding patients upcoming surgery.  Provides excellent customer service skills and works cooperatively with a variety of individual.  Interacts effectively with patients, physicians, and co- workers.Processes confidential patient information and paper records efficiently and accurately according to established Health Information Management policies.Assembly of all patient records with proper patient identification for the ambulatory surgery department.Responsible to distribute all charts to proper units while maintaining confidentiality of all charts.Ensures all documents are appropriately labeled with patient identification in preparation and ensures all documents are sent to HIM for scanning. 

Educational/Experience Requirements:

High school diploma or GED.Two years of previous customer service experience.Knowledge of medical terminology is desirable.  Working knowledge of basic computer skills and web-based applications, with ability to perform data entry.

Basic computer literacy and comfortable with learning new computer systemsAbility to multi-task (phone, fax, computer, copiers)Must be respectful and able to speak clearly and comfortably with patients, their Physicians and office support staff (schedulers, PAs, NPs, admin staff) on a daily basisCan prioritize daily tasks quickly and efficiently to meet internal deadlinesMaintain HIPPA regulatory compliance and complete yearly competencesComfortable documenting within the AAMC EPIC system (EPIC email, reviewing patient charts) and scheduling patient pre-op appointments for the Pre-Anesthesia Testing Center

Working Conditions, Equipment, Physical Demands:

Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects
