Document Control Manager

Role description:

Manage the document control of construction documents to ensure that processes comply with internal procedures and regulatory requirement. To coordinate, monitor and control the movement, filing and archiving of all technical and non-technical documents with the objective of ensuring compliance to company policy and project procedures.

Role accountabilities:


•    Liaise with point of contact from Aconex and collaborate with Owner’s Team and Project Director to formulate document control procedures and workflows for a new build hotel casino project 
•    Take possession of all incoming documents, check the accuracy of the transmittal notice and then record the information in the document register.
•    Identify the respective internal and external recipients for all incoming documentation, make clear and legible copies and issue as required with the requisite transmittal notice.
•    For all outgoing documents, record transmittal notice information in the relevant document register.
•    Maintain a whole and complete control copy of project documents including drawings and details and all other fundamental project documentation 
•    Lead and manage other document controllers within the team 
•    Manage the control and distribution of all relevant documentation for the project
•    Plan, organize, and implement new systems on construction documentation requirements
•    Implements and directs documentation procedures in storing, updating, and distributing engineering documents 
•    Maintaining a copy of all the permit, contract and tender documentation 
•    Development and management of starter pack information for issue to consultants and subcontractors detailing project specific requirements
•    Liaise on all project teams and external parties on all document control issues 
•    Verifying receipt of all incoming documents
•    Proactively assist the project teams to ensure deliverables are received on time and agreed standards
•    Conduct audits of the document management system and records
•    Implementation of systems controls, project file schedule, document control project instructions, organizational chart, and general assistance to project management team
•    Monitors department work- flow and ensures timely processing of the project’s controlled documents and records
•    Produce and update work procedures and standards
•    Traceability of history, location, or copy of documents by means of recorded identification and establish accountability
•    Ability to provide hard and/or soft copies of documents; Deliver front line support for information queries to facilitate business requirements.

Qualifications & Experience:

•    Previous experience with Aconex or similar EDMS is essential
•    Bachelor’s Degree in Business Administration or related disciplines
•    5 years’ experience in document control management
•    Experience with the use of Aconex system 
•    Previous experience working in a large-scale construction project
•    Working knowledge of construction documentation requirements, standards and procedures
•    Proficient in Microsoft Office skills
•    Excellent communication and interpersonal skills
