Document Control Specialist
Document Control Specialist, Lending and Trade Services. The Document Control Specialist is part of the Loan Closing and Documentation Services team. This role performs a comprehensive review and analysis of standard incoming loan documentation requests across various lines of business within all bank markets for commercial and consumer loans. The Specialist serves as the primary liaison and point of contact for the Loan Closing team, loan groups and/or Corporate Legal. The position performs all roles within the department, including Document Preparer and Quality Reviewer, with the primary responsibility of guiding Document Preparers and Quality Reviewers in the coordination of loan document preparation. The loan requests handled may vary in complexity which includes loans secured by various types of collateral such as real estate, all assets, vehicles, and marketable securities. Position Responsibilities: * Analyzes multiple forms of loan approvals, existing loan documentation, and required due diligence documents for commercial loans (i.e., entity and lien documentation such as Articles of Incorporation, title commitments, UCC lien searches). * Determines the required documents necessary based on the type of borrowing entity, collateral, support and any controls or covenants specified in the loan approval. * Provides direction to the Document Preparers and Quality Reviewers to ensure the appropriate documents are prepared in alignment with the loan approval and/or directives from Corporate Legal. * Performs the Document Preparer and Quality Reviewer roles as needed. Identifies and reports on deficiencies in documentation requests; provides guidance to business partners on remediation of those deficiencies to ensure accurate preparation of loan documents. * Identifies and reports errors in the loan documents prepared by the team. * Maintains a comprehensive understanding of legal and regulatory guidelines to assess risks associated with information obtained for loan documentation requests. * Provides training and guidance to Document Preparers and Quality Reviewers on commercial and consumer loan documentation. * Reviews and remediates documentation exceptions issued post-closing; effectively collaborates with relevant parties to achieve resolution. Performance Metrics * Effectively manages assigned workload to ensure all requests are fulfilled in accordance with established service level agreements and quality standards; while achieving both individual and team performance objectives. * Maintains tracking systems with relevant information facilitates communication and measurement of department service level agreements. * Recognizes and reports on bottlenecks, trends, and opportunities for enhanced efficiency and improvement. Operational Risk * Possesses an in-depth knowledge of legal and regulatory guidelines to assess risks related to information obtained for commercial and consumer loan documentation requests. * Accountable for compliance with applicable federal, state, and local laws and regulations as well as Comerica policies and procedures. * Assists in the creation and updates to departmental procedures. Customer Service * Establishes direct communication, both verbally and in writing, with lending groups, Loan Closing, Corporate Legal and third-party vendors to gather and validate the information necessary to proceed with the loan documentation request. * Tracks and updates the statis of loan documentation requests through all stages within the department, ensuring timely communication of receipt and progress. * Proactively seeks to understand the needs, processes, products and services of business partners. * Provides education and support to fulfill both routine and complex requests from business partners. * Address and resolve any business partner questions or concerns. Job Specific Knowledge/Skills * Successful candidates will demonstrate strong leadership qualities, critical thinking and analytical skills, decision-making capabilities, accountability, organizational skills, problem-solving abilities, work independently and possess both technical and functional expertise. * Effective communication skills are essential, with the ability to convey information clearly in both verbal and written form. * The ability to quickly obtain knowledge and skills while remaining flexible and responsive to changing processes and procedures. * Proficient in Microsoft Office Suite. * Adept at analyzing and reviewing loan approvals and preparing commercial loan documents. * Requires a comprehensive understanding of legal and regulatory matters, bank policy and the necessary documentation for preparing various loan documents subject to Reg B, Reg U, Flood compliance, Anti-Money Laundering, UCC Article 9, real estate law and lien priority, and State law regarding borrowing entities and collateral. * Travel is not required for this position.
