Documentation Specialist
Reporting to the Senior Manager, Professional Services, the Documentation Specialist is responsible for creating, managing, and maintaining accurate and comprehensive documentation for the organization. This role involves ensuring that all documents are easily accessible, up-to-date, and compliant with industry standards and regulations. This role ensures that all processes, procedures, job aids, and policies are accurately documented, easily accessible, and regularly updated to reflect current practices. ESSENTIAL DUTIES AND RESPONSIBILITIES * Create, write, and edit technical and procedural documents, including but not limited to policies and procedures, standard operating procedures, job aids, manuals, guides, and reports. * Ensure all documentation is clear, concise, and user-friendly. * Review and proofread documents for accuracy, consistency, and compliance with organizational standards. * Ensure documentation meets regulatory and compliance requirements. Cross-Functional Collaboration and Information Gathering: * Collaborate with various departments to gather necessary information for documentation. * Ensure documentation reflects current processes and procedures. Version Control and Updates: * Manage version control to ensure only the latest versions of documents are in use. * Regularly update documents to reflect changes in processes or regulations. Continuous Improvement: * Identify opportunities for process improvements in documentation practices. * Maintain current knowledge of industry trends and best practices in documentation management and incorporate them into the organization’s processes. EDUCATION AND EXPERIENCE * Bachelor’s degree in Technical Writing, English, Communications, Information Management, or a related field. * 1-3 years of experience in Medicare Part D and/or Medicare Advantage operations, documentation management, or a related field. * Proven hands-on experience in documentation management or a similar role. * Excellent written communication skills. * Excellent verbal communication skills. * Proficiency in document management software and Microsoft Office Suite. * Ability to work independently and collaboratively in a team environment. * Ability to communicate at all levels and establish good working relationships and interaction with executives and/or senior management. OTHER DUTIES AND RESPONSIBILITIES * Responsible for compliance with all federal, state and local laws, rules and regulations affecting Company. * Responsible for participating in quality assurance, compliance and in-service and continuing education activities as requested by Company. * Responsible for performing other duties and responsibilities as required.
