Job Description:

The Donor Relations and Alumni Affairs Coordinator will be responsible for developing and executing a comprehensive and integrated donor relations and stewardship plan for UF College of Pharmacy donors. Additionally, they will create and implement programs and strategies to measurably increase engagement and strengthen the college’s relationship with target alumni and constituent groups. Reporting to the Senior Director of Advancement , this position will work collaboratively with colleagues to engage alumni and friends, cultivating the spirit of philanthropy and advancing the mission of UF Pharmacy.

Donor Relations & Stewardship
Develop and execute a comprehensive and integrated donor relations program and stewardship plan for major donors and alumni. Assist Senior Director and Associate Director of Development with Individual Stewardship Plans (ISPs) and other engagement tools.
Lead efforts around donor recognition programs and events, such as Dean’s Giving Circle, the Alumni and Friends Awards, Evening of Excellence dinner and award ceremonies, Grateful Gator Day, etc.
Work collaboratively with Development Assistant on improving and expanding existing donor relations activities. Assist in the Annual Endowment Review process as needed. Reimagine the brick program into a fundraising opportunity for the College. Assist in maintaining and improving the donor wall.
Evaluate weekly reports to determine the need for customized letters. Revise these thank you letters for “special” gifts that require personalization.
Develop relationships with college units to provide strategies and best practices for their individual stewardship and donor relations activities. Serve as a liaison with UF Advancement Donor Relations.
Draft personalized correspondence to donors on behalf of COP Leadership and colleagues, which may include gift acknowledgements, donor birthdays and milestones, and other methods of stewardship as directed.
Assist with writing content for proposals, development brochures, case statements, alumni magazine articles, and other development materials as needed.
Develop and execute budgets for donor relations activities under the oversight of the Senior Director.

Alumni Relations
Serve as a liaison to the UF Alumni Association by attending quarterly rep meetings, supporting UFAA events and creating new partnership opportunities.
Disseminate alumni relations information to the Development team and college departments, developing alumni engagement opportunities.
Develop and implement programs and strategies to measurably increase engagement and strengthen the college’s relationship with target alumni and constituent groups.
Serve as the team lead on activities related to 40 Gators Under 40, Grand Guard, Gator100, and any other UF Alumni Association events where college participation is encouraged.
Connect with faculty and student organizations who are very involved with alumni. Create a database of these alumni and introduce them to the development officers as appropriate.
Create and execute a communications plan to increase attendance at the college’s annual Alumni BBQ, focusing specifically on milestone graduation years.

Scholarship Coordination & Tracking
Participate in the Financial Aid and Awards Committee, maintain scholarship details for the Foundation scholarships and student affairs including fiscal oversight.
Manage donor interests during the scholarship awards process.
Manage the Development Assistant in oversight of scholarship tracking sheet.
Work closely with the Development Assistant in organizing the annual student thank you notes for both PharmD scholarships and graduate fellowships.
Collect student scholarship recipient bios and photos annually and maintain the data for use in stewardship and cultivation.
Ensure that scholarship donors are given the opportunity to meet (either virtually or in-person) their scholarship recipient each year.

Event Coordination 
Work closely with and provide oversight to the college’s Events team on all Development and Alumni events.
Serve as the Development team’s primary liaison with the Events team, attending biweekly meetings and escalating to the Senior Director when appropriate.
Manage event follow up communication with event attendees such as sending out photos and/or surveys.
Our annual events include the Florida Pharmacy Association Alumni Reception, Florida Society Health-System Pharmacists Alumni Reception, Dean’s Leadership Council meetings, Alumni BBQ, Evening of Excellence, and any other events that may arise.

Expected Salary:

$55,000 - $65,000/annually

Minimum Requirements:

Bachelor's degree or an equivalent combination of education and experience.

Preferred Qualifications: The ideal candidate will possess:
•           Prior experience in a college or university setting, enthusiasm for fundraising in a comprehensive research university, and the desire to work collegially within a goal-oriented fundraising organization.
•           Prior experience in stewardship, donor relations, and/or customer service.
•           Knowledge of fundraising principles, methods, and standards.
•           The ability to work strategically, develop and implement constituency programs and activities, along with a talent for motivating volunteers.
•           The ability to communicate clearly and effectively with diverse constituencies, meet deadlines, be self-motivated, and work independently.
•           Ability to work collaboratively and as a team player.
•           Competency in problem solving.
•           Must be an outstanding communicator and possess excellent written and verbal communication skills; interpersonal skills; and the ability to work collegially and interact effectively with a diverse constituency.
•           Proven success working with stakeholders; excellent strategic planning and project management skills; experience in a data-driven environment; organizational skills; and the ability to lead, influence and motivate others are required.
•           Working knowledge in these areas:  Windows, Microsoft Word, Microsoft Excel, Microsoft Access, internet browsers, preferably Internet Explorer, E-mail.  Working knowledge of a donor database, contact management and tracking system.
