DOT Specialist
This is NOT a fully remote position This position will report to the corporate office located at 1015 W Jackson St in Muncie, IN Position Summary The DOT Specialist / DOT Compliance Coordinator plays a critical role in supporting the organization’s efforts to ensure compliance with all Department of Transportation (DOT) regulations. This role assists in the development, implementation, and enforcement of safety and compliance programs, audits, and inspections. Additionally, the DOT Specialist helps ensure that transportation operations run efficiently while adhering to federal, state, and local laws. The role requires a proactive approach to risk management and safety to safeguard employees and the public.   Pay: $18-$20/ hr   Duties, Responsibilities, and Accountabilities Essential Functions: Compliance Monitoring: Assist in monitoring company operations for compliance with DOT regulations, including those set forth by the FMCSA, PHMSA, and other regulatory bodies. Support the development and continuous improvement of policies and procedures to ensure DOT compliance across all aspects of the organization’s transportation operations. Conduct regular assessments of driver records, vehicle maintenance logs, and hours-of-service documentation to identify any areas of non-compliance. Assist in ensuring adherence to applicable hazardous materials transportation regulations. Audits and Inspections: Participate in internal and external audits to ensure that all transportation-related activities meet or exceed DOT standards. Support the investigation of non-compliance issues by gathering evidence and assisting in the formulation of corrective action plans. Prepare detailed reports of audit findings, making recommendations for process improvements. Training and Development: Assist in the development, coordination, and delivery of training programs for drivers and other personnel on DOT regulations, company policies, and safety practices. Stay informed about updates to DOT regulations, safety protocols, and industry best practices to keep the workforce educated and compliant. Serve as a resource for drivers and staff, providing guidance on DOT compliance, hours of service, vehicle inspections, and other regulatory matters. Safety and Incident Management: Assist with the maintenance of detailed records regarding accidents, incidents, and injuries, ensuring all documentation is properly submitted and reported to regulatory agencies as required. Work with safety managers and senior staff to implement and maintain transportation safety programs that align with DOT regulations and company goals. Assist in managing risk assessment initiatives aimed at identifying and minimizing potential safety hazards. Documentation and Reporting: Ensure that all necessary DOT documentation, including driver qualification files, vehicle maintenance records, and logs related to hours of service, are accurately maintained and readily available for inspections. Assist in the preparation and submission of required reports and documentation to federal and state agencies, ensuring deadlines are met. Maintain detailed records of compliance activities, audit results, and corrective actions taken. Collaboration and Communication: Work closely with other internal departments to ensure that all transportation activities are conducted in a compliant and safe manner. Serve as a point of contact for DOT audits and providing necessary documentation to regulatory agencies. Provide regular updates to senior management on the status of compliance efforts, identifying areas of concern and recommending actions to mitigate risks. Duties and responsibilities may change with or without notice.   Qualifications (Knowledge, Skills, and Abilities) Associate’s degree in Transportation, Logistics, Safety Management, or a related field preferred. 1-2 years of experience in DOT compliance and safety management. Experience in conducting audits and investigations related to DOT compliance. In depth knowledge of DOT regulations and compliance requirements. Knowledge of essential job functions and responsibilities. Attention to detail. Organizational skills. Ability to problem solve. Meet all physical requirements of the position. Pass all drug and alcohol screens as required by Company policy and, if applicable, required by DOT regulations. 18 years of age or older, or 21 if CDL is required.
