DPW Logistics Assistant Manager
JOB SUMMARY The Logistics Assistant Manager, part of the Department of Public Works (DPW) Business Services Team, supports the Logistics Manager in capturing, compiling, and executing rental requests from Burning Man departments. This role focuses on coordinating the fulfillment of diverse rental needs while tracking, managing, and maintaining rental assets to ensure optimal availability and performance. Additionally, this role involves identifying potential risks to rental fulfillment, troubleshooting issues as they arise, and collaborating with key departments to support timely resolutions.   This temporary, ineligible for benefits role is:  + From July - September :  Full-Time ,  Non-Exempt , based Gerlach, NV .  The deadline to apply for this role is 5:00 pm on March 3, 2025   DUTIES & ESSENTIAL JOB FUNCTIONS Daily Operations (75%): + Track, maintain, label, and process rental assets, including vehicles, UTVs, equipment trailers, porta-potties, and other contract resources, ensuring proper allocation and availability. + Use the Business Services Dashboard and other tools to efficiently receive, process, submit, track, and problem-solve rental requests and issues. Ensure timely updates and accurate data entry. + Create and submit reports as requested by management, including asset usage, availability, and status reports, ensuring timely and accurate documentation. + Greet and collaborate with vendors, departmental representatives, and end users regularly through phone, email, Slack, 2-way radios, in person and other communication channels to coordinate rentals, resolve issues, provide updates, monitor assets and ensure smooth coordination. + Follow up with end users to understand their purpose and intended use of rental assets, ensuring they receive consistent service and support. + Create and distribute printed materials such as asset labels, instructions, and informational resources for DPW Logistics, Burning Man departments, and vendors. + Receive, coordinate, and inventory supplies for the Logistics Department, ensuring they are correctly tracked and utilized. + Assist in pre- and post-season cleaning and maintenance of equipment, supplies, and assets to ensure they are in working order for future use. + Provide administrative and procedural support to the DPW Logistics Manager, helping streamline processes and improve operational efficiency. + Identify and resolve issues related to asset allocation, scheduling conflicts, and equipment malfunctions to minimize disruptions to event operations. Leadership (15%): + Serve as a helpful and transparent liaison between departments, managers, agencies, and vendors, ensuring smooth communication and collaboration. + Support staff and vendors with reasonable, creative problem-solving and provide alternate solutions when challenges arise. + Collaborate with the Logistics Manager to ensure proper allocation of resources, helping Burning Man departments remain on budget and on schedule. + Continuously improve and update Standard Operating Procedures (SOPs) for assigned projects throughout the season to reflect current practices and ensure accuracy. + Represent the Logistics Manager and the Logistics Department as needed, acting as a trusted point of contact in their absence. + Manage personal time effectively and work alongside individuals and teams to foster an environment of accountability, collaboration, and adaptability. + Prioritize tasks to ensure the most critical objectives are met efficiently, maintaining flexibility to respond to shifting needs during working hours. + Provide the Logistics Manager with comprehensive written feedback at the end of the season, highlighting successes, identifying areas for improvement, and offering actionable suggestions to enhance overall efficiency. + Submit an end-of-season AfterBurn Report & EMBER reports, detailing observed operational challenges and pain points, documenting key outcomes and providing recommendations for future operations. Other Functions and Responsibilities (10%) + Be prepared to operate between office and field objectives on a daily basis. + Work with the team to plan and execute LNT and Waste disposal plans for all relevant operations. + Be familiar with, understand and act in accordance with Burning Man’s staff policies, protocols and behavioral standards. + Embrace supplemental responsibilities and projects as needed to support the department’s mission and ensure the seamless operation of the event. LEARNING AND TEACHING + Documentation - Assists in the creation, publishing, and maintenance of process documentation related to their assigned duties. + Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes. + Training development - Collaborates with the education team to develop training materials in their area of expertise, as requested. + Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.   QUALIFICATIONS Required + Minimum of 2 years’ experience in a customer service or client-facing role. + Able to safely lift and carry up to 50 lbs. of crates and equipment and repeatedly climb on and off trucks. + Advanced understanding of construction scheduling, event production timelines, and cost control. Familiarity with Burning Man’s unique operational environment and experience working with integrated project plans. + Strong ability to navigate digital tools, with an emphasis on Google products (especially Google Sheets). Working knowledge of Microsoft Word and Excel. Able to proactively learn, teach, and update online applications, tools, systems, spreadsheets, and documentation as needed. + Clear, service-oriented, and professional communicator, both verbally and through written correspondence. Experienced in using 2-way radios and following proper radio protocol. + Able to demonstrate proactive, present, and responsive leadership for a diverse team while maintaining firm boundaries and upholding established standards. + Capable of maintaining consistent organization and tidiness in the workspace and in handling important information, ensuring accuracy and efficiency. + Operates with integrity, discretion, and confidentiality when handling sensitive information. Capable of receiving feedback and integrating it into actionable improvements. + Able to stay composed and focused in high-pressure situations and emergency scenarios, setting a professional example for others. + Demonstrates the ability to proactively identify tasks and take initiative with minimal supervision. + Capable of working in extreme conditions, including drastic temperature changes, high winds, poor air quality, and periods of low to no visibility. + Willing and able to temporarily relocate to the Burning Man event site in Gerlach, Nevada, during the event production period. Preferred + Previous experience as Burning Man staff or familiarity with its culture, principles, and operations. Prior attendance at the event is a plus. + Familiarity with the Department of Public Works (DPW) and its role within the event. + Knowledge of coordinating with vendors, managing deliverables, and maintaining productive vendor relationships. + Serviceable Spanish language skills are a plus for enhanced communication. + Familiarity with office machines, including their use, basic troubleshooting, and maintenance. The anticipated rate for this position: + From July - September is $17.00 to $20.00 per hour .   PHYSICAL REQUIREMENTS/WORK ENVIRONMENT + Off-playa:   Work is primarily sedentary in nature, no special demands are required. + On-playa:   This position requires periods of heavy lifting, bending, kneeling, squatting, and climbing. This position will be physically demanding, and requires individuals with good physical health, and endurance. Work will include the need to find and meet with department representatives who may not be in the vicinity therefore this could include walking or using some form of transportation.
