EA/Office Administrative Partner

How you will create an impact The Executive Assistant / Office Administrative Partner role will provide comprehensive administrative support primarily to the President/CEO but will also extend assistance to the executive team, ensuring efficient operations and adherence to regulations. The role will also serve as the primary point of contact between the President’s office and internal stakeholders fostering effective communication and collaboration; and is the nominated lead to manage external stakeholders such as AmCham, PIRA, IIAP and other industry-related associations. This role combines administrative duties, executive assistance, occupational safety and health responsibilities, and corporate communication functions, including the management of AIG Philippines' website. + Calendar Management + Schedule and manage the President's appointments, meetings, and travel arrangements. + Ensure that the President's calendar is up-to-date, and conflicts are resolved promptly. + Coordinate with internal and external stakeholders to arrange meetings and events. + Communication + Serve as the primary contact point for corporate communication matters. Will also be working closely with the President to coordinate frequent presentations, speeches, and announcements. + Manage and update AIG Philippines' website, ensuring accurate and timely information is available. + Handle correspondence, emails, and phone calls on behalf of the President, ensuring timely and accurate responses. + Draft and review emails, letters, and other communications as needed. + Meeting Coordination + Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. + Ensure that all necessary materials and information are available for meetings. + Arrange logistics for meetings, such as venue setup, catering, and audiovisual equipment. + Document Preparation + Draft, review, and edit documents, reports, presentations, and other materials as needed. + Maintain accurate records and files of correspondence, reports, and other documents. + Ensure that all documents are formatted and presented professionally. + Travel Arrangements + Plan and coordinate travel itineraries, accommodations, and logistics for the President's business trips. + Prepare detailed travel itineraries and ensure that all travel arrangements are in place. + Handle travel-related expenses and reimbursements. + Confidentiality + Maintain the highest level of confidentiality and discretion in handling sensitive information. + Ensure that confidential information is protected and only disclosed to authorized individuals. + Project Support + Assist with special projects and initiatives as assigned by the President. + Provide research and analysis on various topics as needed. + Manage and track project timelines and deliverables. + Office Management and Occupational Safety and Health + Oversee the executive office's administrative functions, including maintaining office supplies and equipment. + Ensure that the office operates smoothly and efficiently. + Handle administrative tasks such as filing, data entry, and record-keeping. + Work with the Safety Officer in ensuring compliance with occupational safety and health regulations and company policies. + Help Coordinate safety training sessions and workshops for employees. and maintain records of safety incidents and report them to the appropriate authorities. What you’ll need to succeed + Bachelor's degree in Business Administration, Office Management, Communications, or a related field. + Proven experience in an administrative or executive assistant role, preferably with experience supporting executive level management. + With experience or knowledge in corporate communication and website management, and event planning and coordination. + Knowledge of occupational safety and health regulations and best practices is a plus. + Excellent organizational and time management skills. + Strong verbal and written communication and interpersonal skills. Will have frequent communication with executive team members and business partners/vendors/consultants and thus, must be professional, accurate and reliable. + Ability to handle multiple tasks and prioritize effectively. Can troubleshoot as necessary to achieve swift and accurate project results. + With high level of discretion and confidentiality. + Excellent telephone skill is a must. + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) + Highly organized, detail-oriented, and capable of handling sensitive information with the utmost discretion and professionalism.
