We’re looking for a Temporary to Permanent EA the CEO in a regulatory organization in downtown Edmonton.

The Executive Assistant plays a critical role in providing high-level support to the CEO, Board of Directors, C-Suite, and other management team members. This position ensures seamless executive operations by managing communications, coordinating meetings, strong board governance and handling confidential matters with professionalism and discretion.
EA to the CEO responsibilities:
Executive Support: Manages the CEO’s calendar, email, travel, expenses, and confidential communications. Acts as a liaison between the CEO, Board, and senior management. Proactively supports the CEO in preparing for meetings, drafting written responses, problem solving and managing priorities. Assist with key initiatives, corporate events, and stakeholder meetings. Prepares reports, presentations, and briefing materials. Screen and prioritize incoming communications, including emails, phone calls, and meeting requests. Draft and edit correspondence on behalf of the CEO as needed. Contributes to the annual budgeting process, particularly in relation to governance-related items. Manages the planning and coordination of special corporate events, including organizing annual stakeholder meetings Anticipates needs and support business priorities.
Board & Governance Support: Coordinates Board meetings, prepares and distributes board packages and notices, produces meeting minutes and follows up on action items. Ensures all policies, procedures and related documents are compliant with and meet governance best practices. Assist in preparing reports, policy updates, and governance research.
Administrative & Project Management: Improve administrative processes and track key deliverables. Manage strategic projects and stakeholder communications. Support budgeting and corporate administration initiatives. Assist the CEO in executing strategic initiatives and special projects, conducting research, compiling data, and preparing reports and presentations. Provide analytical support and contribute to decision-making processes as required. The successful candidate has: 10+ years of supporting VP’s, C-suite executives, specifically a CEO. A Bachelor’s degree or diploma in Business or Administration. GPCD designation is an asset. Extensive experience of board governance, working with a Board of Directors and Committees are a must. Expert calendar management skills, ensuring seamless coordination of a complex, high-volume schedule. This includes strategic pre-planning, anticipating conflicts, and problem-solving to ensure the CEO is fully prepared for meetings with all necessary materials, briefings, and logistics in place. Advanced expertise in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and able to pick up new software’s quickly. Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines. Strong interpersonal skills, able to build and maintain positive relationships with internal and external stakeholders. Exceptional communication skills, both written and verbal, with a high level of professionalism and business acumen. Ability to exercise sound judgment and make decisions independently. Discretion and confidentiality in handling sensitive information. Flexibility and adaptability to changing priorities and demands. Able to work in a downtown office location in Edmonton is a must.
