Eastern PA Executive Assistant to Market President

Under general supervision, performs advanced administrative assignments. Requires continuous use of advanced technical and business vocabulary and a detailed knowledge of departmental procedures and operations. Analyzes complex information. Provide proactive executive assistance to the Regional Retail Leader. Performs advanced and diversified assistance including high level support in managing a high volume of competing priorities in a fast-paced environment, prioritization, and coordination of Executive’s schedule, actively involved in understanding the business to align Executive’s time and needed resources to the business priorities, organizes and handles various administrative functions to keep the office running efficiently. May supervise other administrative assistants.

 

Essential Job Functions:

Manages competing priorities in a fast-paced environment.

Responsible for calendar management, communication and correspondence, client interactions, expense reports, travel arrangements, and human resource needs including requisition management, time, and attendance.

Responsible for meeting coordination, video conferencing and scheduling and organizing proper room setup as needed.  Prepares agenda and materials for meetings. 

Coordinates events in a manner that includes thorough planning and research to result in completed assignments of the highest quality. 

Reviews and prioritizes incoming calls, requests, communications, and documents. Takes initiative to research, summarize, and resolve matters of reasonable to high complexity with limited direction.  Asks appropriate clarifying questions, exercises judgment, and provides information as appropriate. 

Works independently on more routine projects after acquiring initial experience.

Assists with creation of reporting, meeting outlines, presentations and could be involved in Network projects and new initiatives.

Responsible for the accurate & timely processing of invoices, from contractors, consultants & vendors.

Communicate with & distribute material to other business lines & support groups ensuring all teams are keyed in on critical dates & deliverables.

Completes a variety of special assignments and projects. Able to establish objectives, setting and adjusting priorities, efficiently managing time, gaining cooperation and participation from others through effective collaboration, monitoring progress, problem-solving, and implementing plans.

Improves processes and procedures by evaluating current state and investigating best practice options for better efficiencies and effectiveness.

 

Required Qualifications:

High school Diploma

Minimum of five years administrative experience and or equivalent business experience

Very strong and proven organizational and client service skills.

Demonstrated attention to detail and ability to prioritize and manage multiple tasks.

Advanced PC skills including Outlook, Microsoft Word, Excel, and PowerPoint.

Excellent attention to detail, organization, and accuracy in work.

Excellent verbal and written communication skills and ability to work in a team environment.

Demonstrated ability to follow through on assignments, solve problems, and make decisions.

Adept at interacting with senior executives; willing to provide assistance proactively or upon request.

Flexible, adaptable; willing to embrace change.

Maintain strict confidentiality of documents and information.

 

Preferred Qualifications:

Undergraduate degree

Financial Services experience

Takes initiative and works independently on routine and more complex matters.

COMPENSATION AND BENEFITS

This position is eligible to earn a base hourly rate in the range of $24.04 to $36.54 per hour depending on location and job-related factors such as level of experience. Compensation for this role also includes short-term incentive compensation subject to individual and company performance.
