As an Editorial Operations Assistant at Reuters, you will play a crucial role in ensuring the smooth and efficient operation of our office.

Your responsibilities will encompass a wide range of administrative and organizational tasks, with a focus on creating a positive and productive work environment. The ideal candidate will be detail-oriented, highly organized, and capable of multitasking to meet the diverse needs of our office.

About the Role

As a Editorial Operations Assistant, you will:

Provide general administrative support such as handling phone calls, managing correspondence, and coordinating meetings.

Maintain organized filing systems, both digital and physical, to ensure easy retrieval of documents.

Office organization: oversee office supplies and equipment, ensuring availability and functionality, coordinate with vendors for office maintenance and repairs.

Serve as a point of contact between employees, clients, and external partners.

Draft and edit internal and external communications, such as emails, memos, and visa letters.

Manage and update schedules for meetings, appointments, and events.

Coordinate travel arrangements for employees, if necessary.

Accurately enter and maintain data in databases and spreadsheets.

Keep records of employee attendance, leave, and other relevant information.

Financial Administration (invoice processing, expense tracking, and budget monitoring).

Collaborate with the finance department to ensure accuracy in financial records.

Assist in the onboarding process for new employees.

Maintain and update employee records.

Address and resolve office-related issues promptly and efficiently.

Collaborate with team members to find solutions to challenges.

Coordinate events.

Ensure the office complies with relevant regulations and standards and assist in the implementation of office policies and procedures.

About You

To be our Editorial Operations Assistant, you will likely have:

Proven experience as an office administrator, administrative assistant, or in a similar role.

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Fluent English and Arabic, French would be an asset.

Proficient in using office software (e.g., Microsoft Excel, Microsoft Word).

Familiarity with basic financial and HR processes.

Attention to detail and problem-solving skills.

Ability to work independently and collaboratively in a team environment.
