The Dotter Department of Interventional Radiology is a pioneering national and global leader in Interventional Radiology clinical care, translational research, and education. A successful candidate will be a self-starter, exhibit systems thinking and demonstrate excitement for supporting the Dotter Department’s Integrated, Independent residency programs and the Neuro-Interventional Radiology (Endovascular) CAST fellowship. The Dotter Department of Interventional Radiology is a part of the OHSU School of Medicine, with its own admitting service and clinic. We provide all the diagnostic angiographic, interventional radiologic, and neurointerventional services to the OHSU and VA Hospitals.
The purpose of this position is to provide technical support to the educational programs for all residents, medical students, and fellows in the Dotter Department of Interventional Radiology. The position is responsible for all continuing medical education events for the Dotter Department of Interventional Radiology.
A successful candidate will be an emerging leader, will remain flexible in a fast-paced environment, and will exhibit enthusiasm for Interventional Radiology education programs. The Program Technician 1 will serve as a technical advisor relating to policy and process compliance to the Interventional Radiology Education Team and department leadership. The incumbent will be a collaboration-minded professional, able to work seamlessly with partner departments to enhance leaner experience and outcomes. The Program Technician 1 will participate in program planning and process improvement, specifically in the areas of residency training courses and continuing medical education events. This employee will work closely with the Residency Program Director(s), Administrative Director, School of Medicine Graduate Education (GME) team, and partnering departments; and will participate in various committees to complete tasks which enhance educational opportunity for trainees, students, fellows, and faculty.
The Program Technician 1 will report to the Department Administrative Director, will work directly under the Program Director, work in collaboration with partner department Education Managers, and will be expected to operate as part of a team. This position will be expected to manage multiple conferences and events throughout the year that often occur outside of normal business hours, including, but not limited to weekends, early mornings, and late evenings. All work events are typically planned well in advance but flexibility in work hours is a must for this position.
Function/Duties of PositionEducation Program Administration (Residency, IR Fellows)
Actively engages with the Program Director, and other faculty to help enhance the learning environment and to ensure that education goals are achieved.Coordinate with residents to design and implement curriculum for weekly conference series for academic year, communicating across the department with numerous faculty.Develops and prepares semi-annual reports, surveys, and accreditation documents for review and approval by the Program Director. Prepare accreditation reports and forms within the designated timelines for Program Director to review for reporting to GME, ACGME and ABR, ensuring compliance with program requirements.Inputs and maintains call schedules in SmartWeb, manages dosimeter badges, MedHub rotation schedules and moonlighting agreements.Assist Program Director and Associate Program Director(s) with coordination of the residency recruitment processes including advertising, answering applicant questions, web page content, ERAS database management, and monitoring and approving residency applications.Coordinates orientation process for residents and fellows; including guidance through ACGME and Department HR processes, developing orientation schedules, receive, process, and complete appropriate credentialing and verification requests for trainees. Assist the Program Director and Associate Program Director in the administration of the Residency Program Quality Improvement curriculum, including establishment and maintenance of clinical quality improvement project and results tracking, monitoring resident progress through required training modules, and working with the Program Director and Quality Director to ensure QI curriculum goals are met.Recognizes and maintains security of confidential and privileged information; assures confidentiality of all meetings, documents and communications. Manages confidential records for residents and fellows.Document current and ongoing educational activities for all trainees, including board certification after program completion. Assist Program Director in proctoring annual resident primary board examination. Maintains security of all materials and assures compliance with outlined procedures.Prepare applications for annual resident primary board examination. Order all testing materials in a timely manner.Manage incoming fellowship applications and arrange multi-day interviews, including travel arrangements. Coordinate approval process and screen applicants. Coordinate applicants review process and schedule rank meetings as needed.Coordinate efforts to connect residents to faculty as a part of the mentorship program. Maintains and continually updates education files and program policies according to department, ACGME and other accrediting body guidelines. Participates in annual residency budgeting process with department leadership, tracks program expenses to budget. Coordinates learner events and tracks conference attendance, including participation at annual conferences. Plans and coordinates graduation events, including ceremony, certificates, presentations, etc. as appropriate.Visiting Scholar Coordination
Coordinates all visiting scholar activities for the Dotter Department of Interventional Radiology.Serves as first point of contact and liaison between OHSU Office of Volunteers and Visitors (OVV), and the Office of International Affairs (OIA), ensuring that all regulatory, compliance, and visa documents are submitted in a timely manner.Monitors Dotter email for scholar and learner interest, connecting requests to appropriate departmental and university resources.Medical Student (Clerkship) Program Administration
Coordinates rotations for medical student (UME) rotations through the department of Interventional Radiology.Track and properly document all rotating students, including coordination of all applications and onboarding processes.Interact with the OHSU School of Medicine UME offices and the Interventional Radiology Clerkship Director to screen and manage the online application process for visiting students (VSLO) and ensure complete documentation for visiting students, including final evaluations, letters of recommendation, and credit/grades for rotation.Coordinate experiences for medical student rotators rotating through IR, including coordination of attending supervision and assessment, provision of educational materials for pre-reading, and development and distribution of curriculum guides.Other duties as assigned
Required QualificationsEducation:
Three years of experience administering or coordinating parts or subsets of a project or program.A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.Experience:
