Administrative Assistant-Office of Head Start Training & Technical Assistance-Region IV
JOB SUMMARY:
The Administrative Assistant (AA) supports the Regional Office of Head Start (OHS) in Region Iv. Per direction of the Regional Training and Technical Assistance Coordinator (RTTAC) and the Regional Office (RO). The Administrative Assistant (AA) provides general administrative support for all Training & Technical Assistance (TTA) contract activities and deliverables to ensure the efficient and effective delivery of TTA to Head Start recipients in Atlanta, GA. The position is on-site.

ESSENTIAL FUNCTIONS:
· Assists RTTAC and TA Managers with organization and maintenance of records management systems, including Head Start Enterprise System (HSES), SmartSheets, & the Early Childhood Knowledge and Learning Center (ECKLC).
· Provides support to the RO staff regarding program data collection, research, analysis, quality control, and other administrative duties that support OHS policies, procedures, and priorities.
· Operates and maintains multiple, on-line, and local data management/tracking systems and databases.
· Tracks and maintains up-to-date Regional TTA System Information to the ECKLC workspace.
· Produces reports from HSES, SmartSheets, and SmartHub at the request of the RO and RTTAC.
· Performs initial quality review and reconciliation between projected Monthly Travel Plan (MTP) and final MTP.
· Supports RTTAC in preparing and submitting accurate and timely monthly and quarterly reports, travel plans, and the annual regional OHS Professional Development Plan.
· Conducts periodic review of HSES and Smart Hub to verify TTA reports are complete and map to final MTP.
· Develops reports, dashboards, correspondence, and presentations to include spreadsheets, Word documents, and Power Point presentations at the request of the RO and RTTAC.
· Aggregates and prepares data from existing government systems to inform and report on TTA activities.
· Generates, distributes, and mails (electronically or otherwise) miscellaneous correspondence and materials to HS/EHS recipients and program officials as needed.
· Photocopies, collates, and files documents; prepares travel orders and vouchers; produces correspondence; note taking and other business-related tasks, as assigned.
· Conducts event planning for the Regional T&TA meetings and events including the oversight during virtual T&TA events, meeting logistics, communication with the participants, as well as other duties as directed from the RTTAC and/or RO
