What this opportunity involves:

As the Administrator within the Emergency Management Team , you’ll support the broader Facilities and Operations team in the oversight of training, data updates as well as regulating important admin tools. Working closely with the Emergency Management Manager and Vendor Manager, you’ll play a critical role in ensuring the safety and compliance of our onsite teams.

An Overview of the role: 

Work closely with the Emergency Management Manager and Vendor ManagerMake general inquiries of the vendor on behalf of the Emergency Management Team and ClientAssist with conducting and recording minutes of the Monthly Vendor Management Meeting and fortnightly Client meetingsReview and upload Vendor Monthly Performance Reports to the Client PortalAssist the Emergency Management Manager with planning upcoming schedule or training changes, milk-runs, and site documentation upgradesAssist the Emergency Management Manager with ad-hoc discussions and reporting as requested by the ClientRespond to site-based general inquiries on Training operations and diagramsCreate initial reactive requests and work orders to address issues raised by the Vendor and ClientVerify the contents of documents uploaded to the Corrigo portalCreate financial proposals and verify invoice dataCreate regular schedules for training programsUpdate schedule information in Corrigo

You will possess administration and communication skills and have a strong customer service focus. Proactive with a keen eye for detail and the ability to balance multiple priorities.

Ability to deal with a variety of issues concurrently, within tight operational deadlinesKnowledge or exposure to building/facilities management would be advantageous although not essentialEfficient keyboard and data entry skillsProficiency with Microsoft Word, PowerPoint, Excel, Outlook and Internet research skillsAbility to work with minimal supervision and grasp new concepts Excellent client service and communication skillsAn Australian Citizen
